EXECUTIVE ASSISTANT
A leading property development company is looking for a super-star executive assistant to provide high level administrative support to the CEO, Financial Director, and Chief of Staff.
EXECUTIVE ASSISTANT RESPONSIBILITIES:
- Providing a high level of administrative, secretarial, research, and project management support
- Extensively managing inboxes and diaries, including arranging internal and external meetings
- Discreetly dealing with highly sensitive and confidential information and demonstrating a high level of personal integrity, tact, diplomacy, and confidentiality
- Preparing meeting agendas, attending meetings, taking minutes, and coordinating communications with internal/external stakeholders, following up on actions as required
- Creating or formatting documents using Microsoft Office
- Word, Excel, and PowerPoint
- Providing documents, relevant materials, and any correspondence in a timely and accurate manner
- Accurately undertaking finance administration such as budget monitoring, raising POs, approving invoices, and processing expenses
- Booking meeting rooms, restaurants, arranging dinners, organizing social events, catering for internal and/or external meetings, or providing general support as required
- Working collaboratively to ensure plans are made and support is provided during periods of absence, such as holidays, and providing administrative support to wider department(s) where necessary
- Arranging travel, booking accommodation, and creating travel itineraries
- Managing any special or ad hoc projects related to company activities and events
- Providing support to new starters and arranging their introductions, liaising with HR
- Arranging birthday and other gifts for staff and other parties
- Looking after guest apartments, arranging cleaning, organizing parking, managing keys, and any maintenance
- Greeting visitors and clients, providing hospitality to all guests, and helping to create a welcoming environment
- Arranging and coordinating VIP visits
EXECUTIVE ASSISTANT ESSENTIALS:
- Minimum 2 years' EA experience supporting director csuite level
- Must be willing to work 5 days in office
- Strong verbal and written communicator, accurate written work and able to adapt style to reflect suitable tone of voice alongside excellent use of grammar
