Operations Manager (Maternity Cover)

(12 month Max Term Contract)

Kensington, London


Over 4,000 young people from over 60 countries around the world choose to work and study abroad with the Au Pair In America programme every year.

Participants live with a host family in America for a year in exchange for assisting with childcare.

The programme is coordinated by local community counsellors in the USA who provide general support and social and cultural activities for au pairs and hostfamilies.

Our London office recruits the au pairs and our Connecticut office recruits host families for the programme.

Au Pair in America is a division of The American Institute for Foreign Study, which was founded in 1964.

Since then, over 1.6 million students have participated in our educational and cultural exchange programmes, including Au Pair in America and Camp America.


Job Summary/Main Purpose


To provide maternity leave cover for Placement and Finance Managers; managerial support to team members; peer support and holiday cover for other Managers; and to provide operational and project support for the department and to the Deputy Director.


Responsibilities:


  • Effective management of operational and business performance of the Placement function including target achievement, operational/quality standards, customer service levels and individual team member performance
  • Proving support for the Placements Assistant with predeparture checks including Online training, Red Cross and Q&A, and partner communications as required
  • Month End financial processes oversee the ongoing maintenance of and monthly reconciliation processes of expenditure and commissions, including the production of all necessary supporting documents; providing support to the Financial Assistant as required
  • Chasing Payments and monitoring refunds providing a point of escalation for Finance Assistant when difficulties arise
  • Conduct regular 1:1 meetings with team members (weekly or fortnightly as suitable) and participate in team meetings
  • Project management and timely completion of required deliverables


These duties are not intended to be exhaustive, and with the return of staff members to the team, there may also be areas which are handed over to colleagues and further duties to assume.


Skills Required:


  • Experience working in the travel or higher education sectors
  • Prior office management experience preferred
  • Commitment to quality, flexibility, good interpersonal and customer service skills
  • Good organisational, project management and administrative skills
  • Numeracy and ability to verify records of expenditure using Excel
  • The ability to work collaboratively and innovatively as part of a team
  • Selfstarter and supportive attitude
  • Experience managing and coaching a small team
  • Good, clear verbal and written communication skills
  • Strong attention to detail
  • Proficiency with Microsoft Office
