OVERALL PURPOSE OF THE JOB:


  • Control the purchase order system and reconcile delivery notes to invoices thereby presenting the invoices for authorization.
  • Ensure that all financial administrative tasks within the Bars division are controlled and completed on an accurate and timely basis.

MAIN DUTIES AND RESPONSIBILITIES:


Stock Department:


  • Assist the stock department with recording all financial information relating to stock purchasing and movements with Sage Line 50.
  • Update cost prices on SAGE.
  • Raise Purchase orders for all stock purchases.
  • Ensure stock costs at events are reconciled within timely manner ensuring that Warehouse, Supplier and Client movements are all captured and recorded in the relevant manner.

Fiscal:


  • Maintain the Purchase Order (PO) system.
  • Reconcile all invoices to delivery notes and PO.
  • Present the invoices correctly coded for authorisation.
  • Work with head office finance to enable to prompt payment of invoices.
  • Chase suppliers ensuring invoices are received accurately and in a timely manner.
  • Ensure all spend on the company credit card is firstly approved, but subsequently all paperwork is retained for monthly submissions.
  • Raise Purchase orders on behalf of the Operations department to ensure accurate reporting on costs both within events and for general purpose.

Reporting:


  • Report weekly on outstanding POs.
  • Produce analysis for ad hoc requests as required by the Management Accountant.
  • Take into consideration sustainable solutions and best practices to ensure we take responsibility for reducing our impact on the environment and support the companywide sustainability strategy_._

KNOWLEDGE, EXPERIENCE & SKILLS REQUIRED:


  • Proven work experience as a finance administrator or similar.
  • A solid understanding of bookkeeping procedures including crediting and debiting appropriate accounts, posting entries to the ledger, and reconciling accounts.
  • Good Excel knowledge and ability to display data adding value for presentation to others.
  • SAGE knowledge preferred.
  • High level of numeracy and literacy (GCSE Grade A or above or equivalent).
  • Organised thought process, good communication skills and ability to express financial information to nonfinancial colleagues.
  • Excellent planning and time management skills with ability to meet exacting deadlines.
  • Prepared to work weekends & long hours.
  • Event knowledge.
