Part Time Administration Assistant Salary £30,000 (pro rata - £21,400)

Based in Acton, West London
**Office Based: Mon

  • Fri, 10am 3pm**A highly established manufacturer and designer of scientific equipment company based in Acton is looking to recruit a Part Time Administration Assistant to join their friendly team. You will be assisting with providing general admin support for the companyand sales support tasks. This is a great opportunity for an experienced administrator who is looking to work part time, Mon
  • Fri 10am3.00pm, office based.

Duties Include:


Office Administration

  • Office duties as required including answering the phone, office/kitchen supplies, post, answering door.
  • Check stock of office items
  • Check stock of packaging materials with warehouse boxes, chips, bags, tape etc source and reorder as necessary

Sales and Shipping

  • Capture and input customer sales orders
  • Provide order confirmations to customer
  • Send invoices to customers once goods are shipped
  • Liaise with external courier/freight companies to arrange pick ups
  • Liaise with external courier/freight companies on paperwork for collections
  • Follow up on held or pending shipments providing further information if necessary
  • Track shipping and inform customers of dispatch dates and shipping details and any delays
  • Add shipments to Shipping Analysis including tracking number, charge if applicable, courier name, description of goods

In collaboration with warehouse

  • Prepare and pack orders. Create delivery notes, certificates and raise invoices. Prepare shipping documents, including airway bill and commercial invoices
  • Alert Production to any stock shortages and with preparing shipping of nonstock items
  • Distribute stock once arrived including purchase order check off pass PO with delivery note to accounts

HR Function

  • To undertake HR administrative duties and processes in accordance with company policies and procedures (e.g. supporting recruitment, offer letters and contracts to new starters, updating employee records and processing exits).
  • Run standard reports in the HR system to highlight where HR processes are being completed by managers and employees.

Experience Required:


  • Good standard of education, written and spoken English
  • Must have administration experience ideally 3 years +
  • Good organisation and planning skills
  • Accuracy and attention to detail with good numeracy skills
