An opportunity has arisen for a person with a high degree of organisational ability and self-motivation who would enjoy the challenge of being part of an expanding busy, award winning team that will deliver community based cardiac services across Wirral.

The management of cardiovascular disease is a priority for the CT and this post will contribute towards supporting the Community Heart Failure team and the Wirral Community Cardiology

The post will involve daily audio typing and transcribing of letters onto the services shared clinical database. Familiarity and current experience with Cerner millennium and Systm One is an essential requirement.

The post holder will be communicating verbally and electronically with Drs, consultants, specialist nurses and patients on a daily basis.

Providing medical secretarial and administrative support to clinical staff

  • Responsible for inputting and extracting patient information onto appropriate databases.
  • Transcribing clinical via audio typing, ensuring the timely response to department KPIs.
We are a team of three, covering the secretarial aspects of cardiology and heart failure. We are professional and supportive of each other and liaise with department staff on a regular basis. The work is busy and can be challenging however is rewarding.


Input into clinical service databases (as appropriate) for clinics from direct referrals from hospital, general practitioners, specialist nurses or self-referring clients.

Manage these referrals via the appropriate electronic referral system send out appointments with relevant clinic information/instructions.
To undertake ad-hoc typing both written and audio as requested.
Accurate recording and delivery of telephone messages, mail etc in line with Departmental Policies.
Deal sensitively with clients contacting Service, offering information and support at each point of contact

Efficient and timely communication between Centres and GP practices ensuring Service Lead and Line Manager are fully appraised of any issues regarding delivery of service.

Ensure patient results are communicated out to GP surgeries ensuring confidentiality is maintained at all times and ensuring the correct information is sent and updating the patient database to reflect this.

Audio typing clinical letters onto clinical service database copying in patients when appropriate.


Ensure that clinic rooms are ready for use with the appropriate files, reports and clinical case notes are available for the clinicians use.

Assist with the administration of the departments training programmes through delegate list management, compiling and sending of invoices and preparation of study materials.

Undertake general photocopying duties and be responsible for the copying of all patient details regarding results.
Liaise with external agencies as appropriate, whilst understanding the importance of and maintenance of confidentiality in all its aspects
Maintain an easily accessible filing system; retrieve records enabling staff to deal promptly with client queries

Maintain annual archive system and ensure updated on a regular basis
Retrieve patient records from archive store when requested
To undertake any preparatory work required for surveys or audits as requested with regard to retrieving information necessary for clinical audits
