Description
As a
Operations Finance Executive you'll be setting up projects on the finance system and managing ongoing project updates. As well as ensuring the quality and accuracy of output in line with company financial policies and procedures.


You will work closely with the Operations Manager to ensure that projects and contracts are inline with our financial system.

As well as achieving all client and company driven Service Level Agreements (SLAs) for all proposals delivered within the team.

Our office is based in Ashby De-La

  • Zouch, however we will provide the opportunity to work flexibly between the office and from home.

What you will be doing
:


  • Ensure all costs are received against an event and assist credit control in chasing client outstanding invoice payments
  • Assisting project team finance budget and final reconciliation
  • Creating and managing work orders
  • Full management of supplier payments per project. Including creating initial budgets, work orders, final reconciliation, client approval and invoicing.
  • Manage supplier payments on behalf of the client including raising POs and approving supplier invoices.
  • Ensure client POs are checked for accuracy upon receipt and saved in correct location on the system
  • Conducting budget and final reconciliation checks to maintain accuracy prior to project teams sending for client review
  • Updating financial system with budget and final reconciliation figures upon project team sending to client, maintaining accuracy within financial system to aid in accurate reporting
  • Continually review compliance with client SLAs from a finance point of view and ensure records, backup and files are 'auditable'
  • Continually review job status and cash flow for all events within Events team including raising advance deposits required for future congresses and larger events
  • Continually review internal financial reports and update as required
  • Accountable for health check for events
  • Reviewing aging of specific clients, ensuring it ties out and is reported accurately within project closure process
  • Manage the overall delivery for project final accounts within timelines specified both by the company and by clients
  • Ensure relevant sign off procedures are followed in absence of Account Director
