Job Purpose:

To provide administrative support to the Academic Registrar and Registry team.


Main responsibilities:


  • Providing an effective Registry service to prospective, current and past students;
  • Maintaining accurate student record files (both physical and electronic) in the filing cabinets and on Student Management System (SMS);
  • Periodically (termly) auditing student files in order to make sure that all files are in the correct location;
  • Archiving student files in appropriate boxes for storage and labelling the boxes;
  • Filing documents efficiently and accurately within 2 weeks of receipt of the document for filing;
  • Keeping the Filing Room and Archiving Room neat and tidy at all times;
  • Processing student requests for change of class, contact details, name, etc.;
  • Issuing student letters.

Other responsibilities:


To assist the Registry team with any other tasks, such as: word processing, answering to student day-to-day enquires, photocopying, faxing, dealing with the post, telephone enquiries, invoicing, ordering, data entry and general clerical duties.


The post holder must respect the confidentiality of data stored electronically and by other means in line with the Data Protection Act 1998.

All members of staff are required to be professional, co-operative and flexible in line with the needs of the post, Department and College.

This job description will be regularly reviewed and at least prior to the annual appraisal, if applicable or on a regular basis to ensure they are an accurate representation of the post
