Head of Client Accounting - SW London, SW15 - £50K TO £60K

My client, a well-established property & block management company are on the search for somebody to head up the client accounting department dealing with block & estate accounts and budgets and the management of all accounts staff, external accountants, andauditors.


You will be expected to develop and monitor the accounts team performance targets, reporting progress and achievements from reviews via attendance of internal management and client meetings.

Ensure clear communication with property management and administrationdepartments, have a full understanding of client budgets and accounts including knowledge of income/expenditure, balance sheets and extended trial balance reports.

Duties

  • Ensure compliance with RICS Client Money Rules, reviewing, monitoring, and developing clear policies and procedures.
  • Run credit control routines and ensure client arrears are kept to a minimum in line with performance targets through good communication with tenant, client, property manager and solicitors as required.
  • Prepare complex service charge accounts when required and assist staff to resolve queries in preparation of all yearend accounts. Ensure all s/c and statutory accounts are produced by the team on time and are checked for accuracy before ensuring they aredistributed.
  • Handle the financial side of handovers of new managements including setting up new Clients/Properties/Units/Tenants/Charges/Periodicity of rents on MRI Qube. Chase outgoing agents for financial information to ensure a smooth transition.
  • Ensure all information is provided to the Property Managers to enable budgets to be produced in good time. When final budgets are received, ensure they are loaded accurately onto MRI Qube and ensure ground rent, service charge and other demands as appropriateare sent out in advance of the financial year and subsequent periods in line with the requirements of the leases.
  • Prepare the nominal transfer for both property management and purchase ledger modules to in MRI Qube to enable CMS bank movements then upload to NatWest.
  • Balance the client statement to the general ledger and bank, flagging timing differences and incorrect postings. Collate periodic service charge reports and sending to the appropriate Property Manager. Executing prepayments/accruals where necessary andadjustments where applicable
  • Make final adjustments obtaining approval from the PM to finalise on QUBE. Raising year end credits/debits, producing the Year End Report and demands to be sent to tenants. Advancing the year.
  • Reconciling the main client bank account and investigating outstanding entries placed in suspense account. Helping colleagues with journals where incorrect movements have been made and giving support and guidance where necessary.
  • Authorise bank payments where required including checking validity of invoice, bank details and where authorisation levels apply, ensuring payment has been correctly processed.
  • Preparing quarterly RICS Global Reconciliations, liaising with colleagues where imbalances have occurred and aiding in amending same.
  • Preparing quarterly Client Rent Statements, collating invoices, and checking same against entries. Submitting to Property Managers for approval. Sending to clients and making BACS/cheque payments.
  • Updating tenants with rent reviews and lease information. Updating tenant charges with rent increases. Actioning lease assignments, tenancy terminations and creating new tenancies.
  • Preparing financial reports for large clients when needed.
  • General troubleshooting on all accounts/financial issues.
  • Ensuring IT issues are quickly resolved, liaising with staff and IT suppliers.
  • Control of client company bookkeeping, accounts and financial planning liaising with external accountants.
  • Monitoring of cash flow and alerting PMs if there are insufficient funds
  • Identifying savings and efficiencies for both clients and the firm.
  • Improve efficiency of working practices.
  • Promote the business through provision of firstclass professional service.

Requirements:


  • Have previous experience working for a Chartered Surveyor or Property Management business
  • Demonstrate an excellent understanding of RICS and FCA regulatory codes
  • Have in depth knowledge of Service Charge Accounts
  • Proven track record of successfully managing an Accounts Department and great IT skills, using QUBE and SAGE.

Salary:
£50,000 to £60,000 PA

Hours:
Monday to Friday 9:00am to 5:30pm
