    2024 Job Description – Service Department Administrator

    Key Purpose of Role


    • To provide administrative support to all areas of the Aftersales department


    • Prioritising all invoicing achieving the 15min SLA on completion of repair.


    • Full Off site and completed WIP management


    • To support other functions as directed by ASM

    Accountabilities

    · To provide administrative support to all areas of the Aftersales department

    · Checking and approving all bookings via Pinnacle

    · Job pack preparation (inc checking SCP, Campaigns, C&D prep, GDPR check, Audi Connect status, job set to correct account, raising all DISS reports)

    · Updating VMS with customer detail

    · Fleet management of all loan vehicles

    · Prioritising all invoicing, release notes, DSR's.Rechecking of campaigns. 15min SLA on completion of repair.

    · To invoice retail repairs, 1link work, and Internal repair to a suitably high standard that minimises queries and debt

    · Confirming job completion with customer

    · Follow company banking process

    · WIP management including Rebooking for Parts received

    · Updating customers with Parts On Order (off site) weekly via SMS (inc WIP note update)

    · Filing and Archive management

    · To be available for other duties as directed by ASM including Host & Control support

    · To be presentable to brand standards adhering to the company dress code at all time

    · Handle all internal and external customers and suppliers with courtesy and ensure the Harwoods experience is delivered to all contacts at all times

    Skills and Experience

    Demonstrable administration experience in a fast paced customer service environment

    Experience in working as a team

    Computer Literate with experience in learning new systems

    Excellent verbal and nonverbal communicator
