Fleet Support Services Administrator

Contract:
Full time, Fixed Term Contract
Salary £24,000

Role overview
The main function of this role is to provide key Central Support to all Depots, Warehouse and Distribution.


Key Responsibilities / Outputs

  • Assist in the administrative aspects of the vehicle and trailer fleets.
  • To ensure all reporting functions are done daily & kept up to date.
  • General administration duties on a daily basis, to include general support to all depots and warehouse functions.
  • To assist in accident management and reporting
  • Liaising with suppliers both procurement and service, with the addition of negotiating costs.
  • Reception duties including calls and outgoing/internal post.
  • Ordering and printing of all printing needs for transport and fleet compliance.
  • To create purchase orders for all fleet activity.
  • Managing daily chill alerts as a support function to the transport depots within the UK.
  • Management and booking of all couriers relating to the requests for Sameday within the business on behalf of the Clients and Customers.
  • Finance and invoicing query resolution in assistance with finance and the supplier.
  • Booking and arranging Emergency deliveries on behalf of one of our clients, to include liaising with the client and depots to ensure swift delivery.
  • Management of all POD daily requirements and follow up compliance by the depots.
  • Daily and Monthly KPI reporting to various areas of the business
  • Adhoc duties within the fleet and central support function, as and when required


In addition to your normal duties you may be required to undertake other duties in line with the needs of the business and flexibility should be recognised as a prerequisite of the role.


Qualifications / Experience required for the job (Ideal)

  • Good working understanding of Microsoft Excel, Microsoft Word and Outlook
  • Excellent communication skills at all levels
  • Experience of working within a team environment
  • Experience of working within an administrative role
  • Able to prioritise work and meet deadlines
  • Able to work on their own initiative
