Description

The Operational (IT and Office) Support Associate (OSA) is responsible for supporting activities that facilitate the smooth running of our people operations, personal devices and access to software.

This role will deliver tools, consumables and the necessary support across the organisation to create and maintain a pleasant work environment, facilitating high levels of organisational effectiveness, efficiency, and safety.

They will also work closely with HR, Finance,and relevant infrastructure staff to ensure staff have the accounts and access (physical and digital) they need.


A key part of the onboarding process and source of support throughout the employee lifecycle, the OSA will help shape our culture and employee experience.


Ultimately, they will deliver a functioning working environment which is comfortable, safe, and a joy to experience, meaning that colleagues can produce their best work under the best conditions.


RESPONSIBILITIES:


As OSA you will be the lightning rod for all operational and setup queries and issues relating to our Edinburgh Office.


You will also be expected to:

  • Provide necessary support in relation to online services and tools to staff in all of our international offices:
  • Managing digital access and control for staff (creation of Google accounts, access to other online systems, password management, etc)
  • Provide first line IT Helpdesk support (password resets, account management, troubleshooting devices etc)
  • Provide necessary support in relation to office and IT equipment to staff in our Edinburgh offices
  • Maintain the General office IT equipment setup and maintenance (Zoom rooms, printers, devices etc)
  • Take ownership of the IT onboarding process (assigning device, laptop setup, accounts access etc)
  • Maintaining internal asset management records
  • Assist with onboarding of officebased staff (ensuring H&S checks, allocating access passes)
  • Coordinate office installations, refurbishments and maintenance efforts
  • Manage the upkeep of office space, equipment and supplies to meet health and safety standards (coordinating with IT Infrastructure staff and relevant stakeholders)
  • Serve as the point of contact for suppliers and contractors
  • Ensure all operations are carried out in an appropriate, costeffective way (research and compare suppliers and service providers to ensure best price, reviewing utilities consumption, managing office supplies budget)
  • Assist HR and Infrastructure/Engineering in updating and maintaining office policies as necessary
  • Ad hoc support on IT tasks and office management duties

Requirements:


REQUIRED SKILLS:

  • Organised
  • Good communicator
  • Sense of urgency
  • Experience setting up/maintaining office IT equipment
  • Experience of troubleshooting both Windows and Apple devices
  • Proficiency in Google Workspace and MS Office
  • Knowledge of entrylevel IT support systems (Google Admin, password management tools, )

DESIRABLE CRITERIA:

  • The desirable criteria are a bonus and not firm requirements to apply._
  • Relevant experience in a similar role
  • Experience of working with geographically dispersed teams
  • Training in H&S, First Aid, Fire Evac etc

Other info:

Our current office is located within Codebase Castle Terrace, initial interviews will take place at this location.

We are in the process of viewing and securing a new exciting office, this will be located in Edinburgh City Centre.
