Description

To provide courteous, responsive and effective administrative and clerical support to the Estates & Facilities management team within the University Hospitals of Leicester NHS Trust.

To work efficiently and accurately within a designated area.

To promote an effective and efficient service of administration.

Provide administrative support within the Retail Catering Team
&Estates & Facilities Management Team.

Provide administrative support for meetings and committees
associated with the Retail Catering Team & Estates & Facilities
Management Team.

To be responsible for booking meetings and organising room
bookings for the Retail Catering & Estates & Facilities Team.

To be a point of contact in dealing with queries for the Retail
Catering & Estates & Facilities Team.

To manage and implement audits and data collection as
necessary to meet Trust governance requirements and provide
reports as required with in the Retail Catering Department.

To be the point of contact for Hospitality bookings related to the
Retail Catering Department.

Effective management of IT data bases and IT systems for both
front & back of house in the Retail Catering Department.

Assist with cash handling policy.

To promote an effective and efficient service of administration.

KEY RESULT AREAS
CLERICAL / ADMINISTRATIVE DUTIES

To set up meetings for members of the Retail Catering and Estates &
Facilities Management Team in an efficient, accurate and timely manner.

Includes booking meeting rooms and issuing Outlook diary invitations.

To collate and distribute papers for meetings and record apologies on behalf of the Team.

To attend meetings and assist with the drafting action logs for meetings
chaired by members of the Retail Catering and Estates & Facilities
management team.

To perform clerical/administrative duties, including photocopying, scanning
documents, and distributing post to the team.

To assist with the maintenance and updating of Retail Catering and Estates & Facilities Management Team diaries.

To undertake copy typing for the team and assist with some formatting and
updating of documents in Word, PowerPoint and Excel.

To assist with effective storage of Retail Catering and Estates & Facilities
Team documents, including outputs from meetings, on a shared drive and
maintenance of records (including annual leave).

To assist with placing orders on CEDAR, NHS Supply Chain and ordering rail tickets.


To manage the Retail Catering Hospitality and Estates and Facilities mailbox and requests for information, including Freedom of Information requests, Staff Forum responses and collating responses to patient complaints.

Specific Retail Catering and Estates and Facilities licences are renewed in a
timely manner.

Completion of specific returns.

Ensure that the operational teams annual appraisals are undertaken to meet the Trust's 95% target.

Record the sickness absence on Smart Absence


SECRETARIAL SUPPORT
To organise and attend meetings as required by the Retail Catering and
Estates & Facilities Management Team, to take notes and to prepare minutes and agendas.

To undertake such other tasks that may be specific in nature to the Retail
Catering and Estates & Facilities Management Team within the requirements of the grade.

To ensure all documentation sent on behalf of the team is delivered in a
standardised way
