As our Facilities Coordinator you will work alongside the Facilities Operations Manager, being responsible for day-to-day maintenance, development and improvement of the site.
Playing a vital role in overseeing Health & Safety of the site and all its workers and ensuring site facilities are maintained safely and efficiently across all areas.
More about the roleTo manage the TFM portal ensuring the reactive tickets are managed within the allocated Service Level Agreements specified. Oversee the PPM process, ensuring all works carried out are completed in a safe and controlled manner.
Support the Facilities Contract Manager and the Facilities Operations Manager with the monitoring of the service contractors and agreed SLAs.
- Carry out where appropriate and support risk assessments for all tasks and areas and ensure that all hazards and risks are highlighted and eliminated or reduced to as low as possible. Support with reporting and documenting of all H&S and Environmental matters. Support establishing site specific policies, procedures, systems and ways of operating that ensure compliance with all legislative and Company requirements. Lead investigation processes for all accidents and keep records of both accidents and near misses. Ensure that reporting processes and deadlines are met. Develop corrective action plans with relevant managers and teams where necessary. Ensure that regular review processes are in place to monitor performance and drive improvement activity and keep up to date and auditable records of all relevant documentation. Carry out H&S inductions for all employees and visitors to site. Conduct inhouse training with managers and employees about health and safety issues and risks. Lead fire risks and fire prevention processes at sites, including fire warden/marshal training and emergency evacuation plans.
- Assist with the ISO14001 & Health & Safety audits and reporting. Ensuring that documentation is up to date, new requirements and legislation are included accordingly. Contribute to internal audits and to the continuous improvement.
- Ensure budgets for small works are closely managed and each project is delivered in line with the assigned project and time scales. Monthly review of category spends. Enable the smooth running of planned and reactive works; Proactive approach to maintenance tasks. Assisting with desk/staff moves, car park management, administration and coordination of catering and hospitality services.
More about what you should be able to demonstrate:
- Ø Pragmatic problem solver, with strong interpersonal skills and a real drive for continuous process improvement. They will also be comfortable communicating
- with stakeholders at all levels.
- Ø Previous Facilities Coordinator experience.
- Ø Experience of Health and Safety procedures and legislation.
- Ø Ability to communicate with key stakeholders at all levels in the business.
- Ø IT Literate and efficient with Microsoft Packages (Word, Excel etc.).
- Ø MS Office to intermediate level (preferred).
- Ø Previous experience working in a Mechanical/Electrical background.
- Ø IOSH/ NEBOSH Qualification desirable.
- Ø IWFM Qualification desirable.
