Role Summary:

To provide day to day administrative support to by undertaking a wide variety of business administrative duties supporting the Regional Team and ensuring all daily procedures run smoothly.


Key Responsibilities:


  • Support customers and engineers with coordinating all repair works chargeable and FOC in line with regional process and relevant company procedure.
  • Support ASRM with creating and maintaining maintenance and repair schedules for engineers
  • Notify of potential portfolio losses quickly and efficiently.
  • Coordinate with administrative team to ensure customer details are up to date
  • Liaise with sales team for customer visitation schedules
  • Assist with updating of rota documents and any amendments to standby etc. inclusive of any notices
  • To update both Navision and the invoice tracker with all required information and ensuring that this is completed within 48 hours of engineering works Assisting with client request for information to support the growth of revenue within Key Accounts, including upload of worksheets where required and providing additional administrative support.
  • Prepare reports and presentations with statistical data as assigned.
  • Meeting external targets for Management Information submission to clients and overseeing the day to day production of this data.
  • Explore potential for additional works whilst maximising sales opportunities for the Region by promoting companies additional divisions and service options
  • Manage all day to day administration task including, incoming/outgoing mail, calls, queries for the Region and cascade as required.
  • Timely processing of parts and equipment and to liaise with purchasing team as required.
  • Support the region with Travel and accommodation bookings in line with the Travel and Expenses Policy.
  • Other administrative tasks as and when required and anything else reasonable required
  • Assist with preparation for and attend where appropriate, monthly regional meetings.
  • Assist ASRM in recording and close out of LOLER Reports.
  • Assist ASRM with Toolbox Talks agenda and preparation
  • Support ASRM with timesheet review and amendments where
  • Document production for internal and external meetings and attending when required.
  • Local management of customer portals where applicable

Requirements:


  • Demonstrable experience in an Office Administration role
  • GCSE Maths and English
  • Strong Microsoft Office and database skills.
  • Experience working in a similar role
  • Strong communication and presentation skills.
  • Excellent document production skills.
  • Good attention to detail, analytical and able to follow procedures
  • Highly motivated, reliable and hardworking.
  • Positive attitude and effective communicator
  • Excellent time management skills, highly organised, approachable and flexible
  • Ability to manage many tasks and prioritise appropriately.
  • Strong organisational and people skills.
  • Excellent time management skills.
  • Consistently works to deadlines.
