Spinwell is recruiting for an Executive Assistant for an excellent opportunity within the public sector.
RESPONSIBILITIES OF THE EXECUTIVE ASSISTANT
The post-holder will provide a comprehensive business support service to the Executive Director(s) and assist the Executive Team in achieving the client's aims and objectives maintaining the highest standards of customer care at all times.
Each EA will support (a) named Director(s) but will be expected to provide flexible cross-cover for EA colleagues as required.
The post holder will provide a quality and responsive personal assistant service including complex diary management and extensive minute taking, therefore all applicants must be highly experienced and confident in minute taking up to and including Board level.
This department is very busy and the work, at times, very pressurised, particularly when having to arrange urgent meetings and minuting unexpected meetings.
You will need to be able to use your initiative and plan your own workload in a way that supports the Executive Management Team and the wider team.
Therefore, it is essential that a close working relationship and cover arrangements exist between the post holder and other Executive Assistants supporting other members of the Executive Management Team to ensure a seamless service is provided at all times.
At all times the post holder will be dealing with matters of a highly confidential and sensitive nature which should not be divulged to another or discussed with other colleagues unless absolutely necessary.
SKILLS/EXPERIENCE OF THE EXECUTIVE ASSISTANT
- Evidence of continuing professional development
- Substantial experience of working at a similar level
- Substantial experience of formal high level minute taking.
- Experience of working with Senior Managers, Executives and Boards.
- Experience and knowledge of administrative procedures
- High standard of computer skills including highly proficient use of Outlook and Word. Competence
- Project management skills
- Excellent verbal and written language and proof reading skills.
- Ability to produce error free documents, including correct spelling, punctuation and grammar.
- Ability to compose a wide range of written communications, including analysing and summarising information
- High level skills for communicating complex and sensitive information with a broad range of contacts
- Negotiating, networking and persuasive skills
- Excellent planning, prioritising, organisation and time management skills
- Attention to detail
