Our Building Services team are looking for a Procurement Administration Officer to join the team in Royal Derby Hospital.


The purpose of the role will be to provide a professional storekeeping function for the Royal Derby Hospital PFI including ordering, receipt and issuing of spare parts and materials, to provide an efficient maintenance service to the contract ensuring compliance with performance measurement system standards.

You'll:

  • Create a computerised stock control and ordering system (Concept).
  • Using the computerised work control system, order, receive and issue goods and materials.
  • Monitor, review and amend the items held as stock to ensure that the necessary parts/consumables are available to carry out PPM and all reactive daytoday repairs.
  • Review and adjust the minimum stock level requirements in line with contractual requirements so that the stock available allows PPM and all reactive daytoday repairs to be carried out at all times.
  • Review stock levels in the main store and sub stores on a continuous basis and take appropriate corrective action to ensure that predetermined minimum stock levels are maintained.
  • Order specialist parts at the request of the trade staff or management in line with the company purchasing and quality procedures.
  • Evaluate PPM and Reactive jobs to ensure correct spare are available to provide the service.
  • Identify trends in stock usage and breakdowns to ensure appropriate stock items are held.
  • Liase with Managers and Supervisors to ensure that contract supply needs are met.
  • Identify suppliers needed to provide the service.
  • Progress orders to ensure work completion deadlines are kept.
  • Provide periodic reports relating to issues and receipts and stock value.
  • Carry out regular stocktakes to ensure the accuracy and reliability of stock information.
  • Provide feedback to the Help line, tradesmen and management regarding the current status of ordered spares.
  • Provide advice to management on methods to achieve best practice and compliance with the contract. Now and into the future.
  • Assist with the feedback of requisition information to ensure dynamic and up to date management information is always available.
  • Order spares and equipment following company procedures as necessary to ensure the smooth running of the department.
  • Organise the return of specialist equipment to the manufacturer for repair.

We're looking for:

  • A minimum of two years in a similar environment in a position of responsibility.
  • A background in a relevant (service industry) trade.
  • The ability to plan, develop and operate a computerised stock control system.
  • An understanding of the impact, good stock management systems have in the delivery of a quality, costeffective service in line with the present contract.
  • A broad knowledge of building services associated with a large, multidisciplinary service provider.
  • A good practical understanding of stock management and stock control systems gained in a variety of work settings.
  • Negotiating skills.
