Medical Secretary

Accountable to Head of Secretarial Services


Qualifications/Experience **Degree or A Level, at least 2 years as a PA/Secretary in a healthcare setting


Hours **Full Time, Monday to Friday

37.50 hours per week


The primary duties will be:

  • Work closely with the Consultant on the professional care of patients
  • Maintain patient confidentiality at all times
  • Field enquiries from internal and external stakeholders
  • Prepare patient letters and other correspondence within seven working days and to the expected standard
  • Provide assistance to other members of the secretarial team where required

Key skills

  • Experience of handling a wide range of enquiries with excellent verbal and written communication skills
  • Excellent customer service skills and the ability to put the needs of the patient first.
  • Experience of managing dictation
  • Ability to prioritize and manage workload and to work on ones own initiative with mínimal supervision to tight deadlines
  • Ability to deal with difficult situations with a sensitive and professional approach.
  • Experience of using Microsoft Office packages, particularly Word and Excel
  • Experience of using patient management systems such as Ideas and eBase.

Role and responsibilities

  • To serve and protect the healthcare of the patient by adhering to professional standards, clinic policies and procedures within HFEA, CQC and ISO requirements.
  • To adhere to the laws, regulations and guidelines relating to Data Protection and Patient Confidentiality at all times.
  • To deal with incoming correspondence written and electronic in accordance with company policies and procedures.
  • Keep abreast of any changes within CRGH and HFEA guidelines.
  • To communicate effectively with all members of the unit and to maintain continuity of patient care without discrimination or prejudice against a persons sex, religion, age, race, ethnicity, quality. or diversity.
  • Work closely with the Consultants to ensure their diaries are correctly maintained
  • Liaise with patients in a calm, professional and caring manner at all times.
  • Be a key contact for the patient throughout their treatment journey, liaise with other departments on behalf of the patient, and follow through on enquiries to resolution.
  • Deal with ad hoc enquiries efficiently and promptly.
  • Prepare and send referrals to external healthcare professionals and others on behalf of the patient within the bounds of permissions expressed on HFEA Consent to Disclosure and ensure consultants are updated with responses/results.
  • Prepare and send pregnancy letters to patient and others in accordance with options selected by patient on HFEA Consent to Disclosure.
  • Aim to complete transcription within seven working days.
  • Work closely with other secretaries and offer assistance with completing tasks where possible
  • Arrange meetings with internal and external collaborators and organize meeting rooms where appropriate
  • Build rapport with patients and obtain Google reviews on behalf of consultant.
  • Assist with covering absenteeism due to sickness or annual leave.
  • Ensure mandatory training is kept up to date
  • Attend additional training to enhance skills for the role where required
  • Advise Head of Secretarial Services of illness at the earliest possible opportunity
  • Request annual leave from Head of Secretarial Services as early as possible.
