Description
To provide an efficient general office management service for the Trust's Birchcroft Offices- To provide administration and quality system support for projects and contracts, particularly within the Employment & Enterprise and Youth Teams
- To lead the day to day management of the CRM system, including organising and / or delivering user training for staff
- To take lead role in adapting other databases for use by teams, inputting data and generating monitoring reports
- To establish and develop administration systems to support smooth running of different projects and services to meet specific customer and funder requirements, maintaining a robust and auditable paper trail

Groundwork Fencing and Landscaping Administration and Compliance_
- Manage job tracking spreadsheet and quality monitoring system for contracts, input data on a weekly basis, monitor achievement of KPI and generate weekly and monthly data reports
- Inputting batches of job sheets to online database on weekly basis, monitoring compliance by other users and running regular reports
- Provide support for team HR processes
- Set up, maintain and audit filing system for individual contracts and projects
- Set up, maintain and audit system for machinery and equipment inventory
Employment and Youth Administration and Compliance_
- Complete general administration duties linked to individual employment &skills and Youth Team contracts
- Maintain and input information onto internal and external MI and database Systems
- Scan and upload documents onto MI and database systems
- Set up, maintain and audit a robust filing and recording system for new contracts and maintain systems for existing contracts.
- Audit and ensure compliance with paperwork timescales, targets and accuracy
- Ensure that all evidence required to support payments on contracts is completed in an accurate and timely manner
- Produce new templates and documents as required by the team
General Duties and Requirements
- Adhere to GDPR and data protection guidelines
- To manage the Trust's Single Central Staff Record and to oversee the administration of Disclosure and Barring Service (DBS) checks, ensuring the record is up to date at all times
- Support smooth running of the office through general administrative duties including answering phone calls, assisting visitors to the office, generating and processing documents, including for any members of staff hot desking or temporarily based at Birchcroft
- Adhere to all Trust policies and procedures, including our accredited Environmental and Quality Management Systems, undertaking responsibilities at the level appropriate to the role
- Undertake training relevant to the post and to personal development
- Attend staff and team meetings as required
