We have a fantastic opportunity for an Administrator to join one of our clients in Bedford and the role involves all aspects of office administration within a successful and busy site.
RESPONSIBILITIES:
- Liaising with customers/freight forwarders regarding requirements, changes, shortages and problems.
- Manage the Reception of the Main office
- Set up new folders/shipping notes for containers that are due to ship the following week
- Update customers on shipment dates for their orders (new and amended date)
- Plan new containers on export schedule and send bookings to the relevant forwarder
- Liaising with weighbridge & freight forwarders daily for container arrivals/departures and managing any late arrivals or rejections
- Sales Orders processing using in house computer system and maintenance of the system as and when required
- Manage Lunches & drink requests for board meetings including providing support for meetings for refreshments and overseeing Milk, Tea and Coffee supplies for the business
- Maintain sufficient stock levels of Stationery and toners and undertake orders as required by the business.
- Collating together the weekly report
- To ensure all legal requirements are met in compliance to safety, legislation.
- Travel to other sites may be required so driving license essential.
KNOWLEDGE, SKILLS, and ABILITIES:
- Experience in a similar role
- Good Knowledge of Excel & MS Office
- Customer services focus liaising with customers.
- Able to work in a busy environment.
- Positive proactive approach.
- React quickly to last minute changes.
- Able to work on their own initiative as well as part of a team
- Excellent attention to detail.
- The ability to prioritise tasks and manage working time.
- Flexible working.
- Ability to work & achieve deadlines.
