Job Overview


Provide dedicated administrative support to a Mitie team to ensure effective and efficient operation as directed by your line manager.

The role will encompass the delivery of wide variety of tasks, with a focus of this role being the deliverance of excellent administrative service.


Main Duties
Efficient clerical and administrative support as required including but not limited to:

  • Team stationery supplies
  • Purchase Orders & invoicing
  • Categorising ad issue of job cards for PPM's, Reactive and remedial to the correct engineer and subcontactor. Ensuring that jobs are complete and return in order to close dockets on the prison system (planet FM)
  • Meet, greet and escort visitors,
  • Records keeping and filing of technical records and archiving
  • Run monthly reports on PPM'S and reactive work orders and insuring all KPA's are achieved.
  • Time sheets keeping records of engineer's overtime.
  • Raising purchase orders on Coupa and keeping records
  • Sustaining SMC/SSC/PCA baselines filing as assist with audit requests.
  • Act as the central contact for the team, fielding and redirecting calls where required
  • Ensure all associated paperwork is completed and maintained in an orderly and timely manner
  • Assist in the distribution of communication material and presentations
  • Minute taking
  • Maintain spread sheets
  • Any other requirements of Line Manager

  • Strong team player orientation cooperative and willing to assist others.
  • Proficient IT skills including MS Word, MS Excel and MS PowerPoint, and comfortable with numerical reasoning.
  • Engaging communicator demonstrating influencing skills and an ability to adapt approaches to differing audiences.
  • Well organised, with the ability to multitask, prioritise and manage competing demands. Strong multitasking capability, project and deadline oriented.
  • Maintains effective work behaviour in the face of setbacks or pressure remains calm and in control of themselves.
  • Excellent attention to detail and accuracy.
