Job Description:


Role
Purpose:

A support role for the event production team, and the key interface with the Service Provider industry executive speakers.

The role will manage event speakers to ensure an optimal event experience for them while leveraging their industry reach and expertise.

The role will create efficiencies internally by supporting delivery across multiple functions.


Areas
of
Responsibility
& Accountability**Support Production team with:
  • Speaker onboarding and liaising from point of confirmation
  • Become a trusted partner to the speaker, to understand their event expectations and deliver on them
  • Agenda uploads onto website and event app
  • Agenda updates to reflect speaker confirmation, and updating across various platforms
  • Maintains online presence of event product through websites, social media and event app platforms
  • Drive collaboration with the marketing team and speaker to create speakerled content, referrals and social media campaigns to promote the event and speaker presence
  • Collaboration with onsite op's teams to ensure speaker event experience is optimal
  • Supports event project management process with organising and analysing key data and keeping teams accountable for updates
  • Being a key member of the onsite delivery team
  • Takes responsibility for onsite special projects such as 'wow' speakers, offsite trips and more
  • Coordination of presentation reviews/feedback with analyst teams
  • Managing and hosting conference panel calls
  • Work with VIP team to manage speaker event schedule and arrange 121 meetings
  • Proofreading and user testing event agendas and apps

Best Practice/measuring performance/ innovation:


  • Adheres and contributes to conference production best practice guidelines, driving efficiency and effectiveness across all projects. Promotes and utilises appropriate tools and approach throughout team.
  • Reporting accurate conference production objective progress and performance metrics to key internal and external stakeholders per project
  • Identifying and fostering relevant internal partnerships per project, ensuring collaboration is driven with a customer focus.
  • Maximising usage and adherence to Informa systems and processes adopting a best practice in line with internal and external requirements

  • Volume and quality of speaker marketing engagements
  • Lack of speaker dropouts
  • Revenue and GP achieved per event & event resign rates
  • Volume of preevent and onsite (virtual/hybrid/physical) audience repeat vs. new as well as total number, YoY %
  • Speaker referral event registrations
  • Volume of speaker 121 meetings arranged

Interacts
with

  • Speakers to become their main point of contact and liaison between them and internal / external stakeholders
  • Producers to onboard the speakers and in time become a route in to future speaker confirmations
  • Marketing team to ensure speaker acts as a channel to market and we use the speakers key message to inform our marketing campaigns
  • Editorial teams and Analyst teams across the business for content connections and tie ups where possible
  • Operations Team for planning delivery of events & speaker functions
  • VIP team to deliver 121 meetings for the speakers, to invite speakers to social functions
  • Event Lead reporting on issues & opportunities
