Duties
&
Responsibilities:

The post holders primary responsibility is to provide administrative support to our dermatology service. Supporting our patients, clinicians, and support staff through the patients pathway.

The post holder will have great knowledge of our contracts and the admin processes to ensure the clinics run smoothly and are followed up correctly.

These responsibilities include, but are not limited to, the below:

  • All new patients are to be booked within the agreed RTT timeframe and all follow up appointments should be booked within the agreed timeframe set by the clinician, escalating any concerns to the admin manager.
  • When required, cancel patient appointments and ensure they are rebooked into the next appropriate clinic.
  • Appointment outcomes are completed within 5 working days. This involves creating clinic letters, booking follow up appointments, adding patients to waiting lists, discharging patients or completing onward referrals via the E-Referral service to secondary care or via the 2ww pathway.
  • All onward referrals to secondary care are completed within 5 working days. All 2ww referrals are completed within 2 working days.
  • Patient waiting lists, SystmOne task lists, E-Referral Service worklists, E-Derma triaging worklists are all to be well maintained and monitored regularly, escalating any concerns to the admin manager.
  • Ensure all requested test results are received within the allocated timeframe and shared with our clinical team for review, following company policy and procedures.
  • Always maintain patient medical records on clinical systems.
  • Liaise with clinical, administrative and support staff as required.
  • When required support the call administration team with incoming calls, providing excellent patient care, ensuring all calls are greeted promptly, politely and professionally.
  • Always maintain patient confidentiality, adhering to data protection policies and procedures.
  • Report any complaints, incidents, significant events, risks via DMCs management information system.

Personal Specification

Essential

  • Previous experience working within an administrative role.
  • Strong work ethic and interpersonal skills with the ability to work in a diverse team.
  • Excellent organizational, communication, and problemsolving abilities.
Passion for delivering high-quality patient-centred care.

  • Current cloudbased office and collaboration tools and software ability ideally MS Office, Teams, One Drive etc
Desirable

  • Previous experience working in a healthcare setting.
  • Experience in using NHS IT software such as SystmOne, EMIS, and eRS
