The objective of the Air Conditioning Service Coordinator is to support the Service Department by managing all aspects of AC Service coordination.
Management and accuracy of all associated forms and reports is an essential part of this role.Duties and Responsibilities:
Answer service telephone calls in a swift and efficient manner.
Sourcing & obtaining quotations from Suppliers/Sub-Contractors for client quotations.
Produce quotations on receipt of service job reports, submit quotations to clients and follow up accordingly.
Co-ordinate and plan service work in advance including logging information onto our internal job management system, arranging appropriate attendances for service works and ordering of parts where necessary.
Approving & creating Purchase Invoices in management system for Sub-contractors & Supplier invoices
Assist with the asset management of all contracts, generating new and maintaining/updating existing as required.
Management of existing client's details
Assist in opening and closing of service jobs and justifying the material and labour content, ensuring all relevant costs, returned parts are correct before invoicing.
To maintain an outstanding level of client service, to liaise directly with clients ensuring all service queries are sufficiently answered.
Produce relevant documentation for A/C service works accordingly (within 2days of attendance)
Complete Detailed Paperwork to enable engineers to gain access to sites (Vetting forms)
Maintain/Update Process Vetting Spreadsheet
Create and distribute RAMS to client as when required.
Distribute all upcoming Job Reports and relevant documentation to engineers.
Supporting Service Director, Manager & A/C Supervisor in general service office duties.
Assist with covering Service Administrator duties during sickness and holiday periods.
Carry out specific tasks and duties as directed by the Senior Management team.
Maintain regular, consistent and professional attendance, punctuality and personal appearance.
Pursue personal development of skills and knowledge necessary for the effective performance of the role.
Adhere to stated policies and procedures relating to health and safety and quality management.
Maintain a good level of tidiness/cleanliness within your particular working environment.
Working Hours:
Mon - Thur 08:00am - 17:00pm, Friday 08:00am to 16:00pm
