Job Overview:
Responsibilities:
Calendar Management:
- Coordinate and manage the Managing Director's schedule, including appointments, meetings, and travel arrangements.
- Proactively identify and resolve scheduling conflicts to optimize the efficient use of time.
Communication:
- Act as the primary point of contact for internal and external stakeholders, handling inquiries and correspondence.
Meeting Coordination:
- Organize and prepare materials for meetings, ensuring the Managing Director is wellprepared and briefed.
- Schedule and coordinate internal and external meetings, conferences, and events.
Travel Arrangements:
- Arrange domestic and international travel, including flights, accommodations, and transportation.
- Prepare travel itineraries and ensure all travelrelated documents are in order.
Document Management:
- Maintain and organize confidential files, documents, and records.
- Assist in preparing reports, presentations, and other businessrelated documents.
Task Prioritization:
- Assist in prioritizing tasks, deadlines, and commitments to ensure the Managing Director's time is optimized.
- Anticipate needs and proactively address issues to streamline daily operations.
Relationship Management:
- Build and maintain positive relationships with key internal and external contacts.
- Represent the Managing Director professionally and ensure a positive image is maintained.
Special Projects:
- Take ownership of specific projects as assigned by the Managing Director, ensuring timely and successful completion.
Qualifications:
- Proven experience as a Personal Assistant or Executive Assistant in a recruitment agency.
- Exceptional organizational and multitasking skills.
- Strong written and verbal communication abilities.
- Proficiency in Microsoft Office Suite and other relevant software.
- Discretion and the ability to handle confidential information with sensitivity.
- Ability to work independently and collaboratively in a fastpaced environment.
Education and Experience:
- Previous experience in a recruitment agency is mandatory.
