Description

The Barista are the leading supplier for coffee bar services within the exhibition and conference industry, providing espresso bars at corporate events in major cities throughout the UK and Europe.

We are an experienced and ambitious company recognised for our personality, customer service as well as the quality of our coffee.

We are looking for a Client Coordinator to join our team.


About the role

As Client Coordinator, you will be the main point of contact between us and our prestigious clients, working with brand names such as Tesla, Xero, Lindt and American Express.

You will understand how high attention to detail and strong customer service skills are pivotal in delivering upwards of 300 events a year to the high standards of our clients.


As a team player, you will be office based and work closely with the internal Operations team as well as our Sales team to ensure open communication across The Barista.

You will brief our events team prior to each event dispatch in a timely and thorough manner so our Event Baristas have everything they need to deliver a smooth running and successful event.

You will be responsible for organising a variety of branded items for our clients, managing a variety of lead times and fostering strong working relationships with our external suppliers.


As the sole Client Coordinator at The Barista, you will take full responsibility for all aspects of pre-event communications with our clients.

You will enjoy being able to manage your own workload and schedule, understanding how to prioritise varying time sensitive tasks.

Ultimately, you will uphold and represent The Barista's values through your work.

Please note, the Event Coordinator does not attend the events that The Barista delivers.


Main Duties and Responsibilities

  • Guide clients through the preevent organisation process, ensuring that all event requirements are captured accurately and fed back to the internal Operations team with sufficient time ahead of event dispatch.
  • Liaise with external suppliers and manage product lead times to produce a wide range of branded items in line with our client's brand guidelines.
  • Respond to and manage inbound telephone calls with a friendly and professional manner.
  • Contact clients for post event feedback, ensuring that any feedback is carried forward to future events and shared with the relevant team members.
  • Make ongoing updates to the data in The Barista's internal CRM system to ensure that it is as up to date and accurate.
  • Prepare and brief the event team members predispatch to ensure that they are as prepared as possible to deliver a high standard service.
  • Maintain accurate record keeping of client's branded items being held by The Barista.
  • Essential Criteria:_
  • A strong team player that will work effectively with team members across varying roles within The Barista.
  • Excellent written and spoken communication skills.
  • A friendly and professional attitude with high levels of customer service.
  • Highly organised and ability to prioritise tasks. Able to manage own workload and calendar in line with external lead times and wider event calendar.
  • High attention to detail and task focused. Ability to work efficiently and proactively.
  • Experience using the Microsoft Office suite, in particular: Outlook, Word, Excel and SharePoint.
  • Eligibility to work in the UK.
  • Desirable Criteria:_
  • Experience working within the exhibition and conference industry.
  • Experience using CRM systems, in particular Microsoft Dynamics 36
  • At least 2 years customer service experience

Further details
This is a full time, office based role with a provisional start date of the 5th February 2024. Hybrid working will be considered, if requested, however after a sufficient training period has elapsed.


The industry in which The Barista operates is very seasonal, with two peak seasons in a year: March to June and September to November.

The workload of the Client Coordinator reflects this seasonality.


Salary:
£26,500.00 per year
