Merrifield Consultants are thrilled to partner with an International Membership Organisation to recruit an Executive Officer.
-
This is a Part-time role (3 days/week) and a fixed-term contract until the end of 2024.

  • The Executive Officer's primary role is to coordinate assistance and support for the President, Vice-President, and Secretary-General of the Membership Organisation throughout their term
  • Job Title:
Executive Officer- Salary: £35,000-£38,000/annum pro-rata for 3 days - approximately £22,000/annum- Contract: FTC until the end of 2024- Hybrid - 1 day a week (40% in the office but flexible)

    Key Accountabilities:

Executive Officer

  • Draft agendas, schedule, attend and minutes of (President, Vice-President, Secretary-General) conference calls with the Executive Director.
  • Prepare and update the annual Officers Travel Calendar to ensure key conferences and events are attended by Officers. Liaise with Conferences Team to register President, VP and Secretary General for events.
  • Create Annual Conference and Mid-Year meeting schedules for President, Vice-President and Secretary General.
  • Create the annual budgets for the President, Vice-President and Secretary-General.
  • Process expense reimbursements for President, Vice-President and Secretary-General.
  • Monitor expenditure for all three officers (for various meetings/travel/accommodation costs etc) as per the Officers' travel policy and in line with the Officer's Calendar agreed to travel. Provide quarterly expense reports to the Officers.
  • Draft Management Board/Council reports for President.
  • Draft President's welcome message for the Annual Conference preliminary and final programmes.
  • When necessary, prepare/draft the President's Opening Ceremony speech in liaison with the President and the priorities/projects defined for the year.
  • Assist with drafting speeches for numerous events that the President is involved in
  • Draft President's message for the Annual Report and Membership Brochure
  • Draft report for external events.
  • Liaise with regional offices for any Presidential regional visits.
  • Organise President's Day in January each year.
  • Oversee President's Reception at the Annual Conference every two years including tracking invitations.
  • Liaise with Divisions regarding the Presidential Task Forces, coordinating meetings, and agendas, taking minutes where necessary
  • Respond to President, Vice-President and Secretary General invitations and general correspondence.
  • Liaise with the Production Department to maintain President related webpages.
  • Coordinate and manage any adhoc activities initiated by the Vice-Presidents and Secretary General

Skills and Experience:


Executive Officer

  • Extensive experience dealing with highlevel meetings and necessary followup
  • High level of autonomy in a previous role
  • Experience of providing Secretariat support to external committees
  • Conference Planning/coordination
  • Experience of the Constitutional and election processes and administration within a notforprofit/ membership organisation
  • Spreadsheets / Budgeting
