Band 4 Administrator (procurement based)

Location:
Northwood London


Temporary:
Expected to be ongoing.


Hours:9am - 5pm Monday to Friday


Salary:
£14.00per hour umbrella or £12.00 per hour paye inclusive of holiday pay


Skills knowledge and experience

  • 3 year's Office administrative experience.
  • Abilityto useMicrosoft Office andIT knowledge includinguseofdatabasesand spreadsheets.
  • Demonstrateeffective organisational ability over a wide range oftasks,eg. typing,data inputting andad hocrequests.
  • Abilityto workin aflexible and organisedmanner, toprioritiseandworkto deadlines & dairy management
  • Abilityto communicate effectively,both verballyand in writing.
  • Confidenceto workon own initiative and to consultasneeded.
  • Abilityto workunderpressure.

Main Duties and Responsibilities

Administrative

  • To assist with the day to day management of the office and the development, implementation and maintenance of office practices and procedures.
  • To deal with telephone calls, correspondence and direct contacts with clients and internal or external agencies in an appropriate and professional manner, using judgement and discretion where necessary and referring complex matters to relevant senior membersof staff.
  • To attend the team meetings as required and to be an active participant in the monthly administrative team meeting.
  • To act as secretary at meetings, taking and distributing minutes notes as appropriate, and to act as chair of the administrative team meeting on a rota basis with colleagues.
  • To ensure that administrative systems within the team are operationally effective, advising the Office Administrator of any issues or concerns.
  • Handling of service user data according to GDPR and Trust policies, ensuring confidentiality of service user information is maintained at all times.
  • To arrange transport and book outpatient appointments as necessary.
  • Organise requests for medical investigations (blood tests, Xrays etc) and ensure the results are available when required.
  • To have an understanding of health and safety regulation and assist in maintaining a safe environment for service users and visitors to the department in accordance with fire, health and safety procedures.
  • To provide cover to colleagues in their absence.
