Staff365 are recruiting an Executive Assistant on a temporary ongoing basis for our client located in Sheffield.


Salary:
£25,000


Hours of work:
Monday - Thursday 08:00-16:30 and Friday 08:00-15:30

38 days holiday including BH

Summary of role;

To work for the CFO providing administrative support, acting as the first point of contact with people from both inside and outside the organisation.

You will need to know who key personnel are (both in the UK & Group wide) and understand the Company's aims and objectives.

Correspond with Company departments and external bodies to provide/exchange information.

Responsibilities;
Organising and maintain diaries, making appointments and attending meetings ensuring that the CFO is well prepared and has all supporting documents

Central point of contact for CFO, meeting and greeting visitors at all levels of seniority

Screening phone calls, enquiries and requests, a handling them when appropriate with discretion and confidentiality; diary management for CFO

Taking notes or dictation at meetings, providing general assistance where necessary; collate documents as required

Co-ordinate various meetings

Travel arrangement co-ordination for CFO.

Company House management (including Company House audits/checks)

General Insurance Company administration; claim enquiries (e.g. Health & Safety-related); renewal of policies

Support in all areas of Company Secretarial work including filing documents at Companies House

Pensions, Private Health Care & property administration; supplying appropriate support and information to CFO, Managers, employees

Experience required;
Solid background in a similar Executive level PA role

Approximately 3-5 years' experience is needed to perform the job at a competent level

Previous experience of Company Secretarial Work and Minute taking

Experienced in working under own initiative, demonstrating an ability to set & meet personal targets, combined with the flexibility to adjust to workload priorities to take account of new deadlines

Ability to maintain confidentiality, and produce/process documents accurately

Strong written and verbal communication skills with a commitment to customer service

To be forward thinking and proactively anticipate potential issues that may impact on CFO's workload.

Awareness of wider Company issues and relevant legislation. Required to keep informed of changes in legislation and departmental policy to deliver correct advice

IT knowledge, including Outlook, Word, Excel intermediate level, PowerPoint, SAP (desirable)

Ability to handle difficult situations & deal with these confidently both in person & on the telephone

A flexible approach to work, along with the ability to work as part of a team
