Contract coordinators are in charge of organizational procedures related to planning, scheduling, and contracting duties for their company. They handle administrative and planning tasks, as well as respond to internal and external correspondence following established company procedures

Main Responsibilites

  • Book & Schedule all Works & Engineers
  • Progress Jobs to Invoice Stage
  • Manage all Data Input on Customer Portals, maintain databases, all records to be kept up to date
  • Follow Pre-Written Scripts & Procedures
  • Manage all Projects to Include Correct Costs, Cost Centres, Variations & Completion
  • Documentation, excellent recording keeping within Oakray system
  • Contractor Works Orders, to raise and allocate specialist subcontractors, to ensure compliant
  • Purchase Orders
  • Answer Phone, Action where Applicable & Relay Messages Accordingly
  • Administer quotes to clients for authorisation
  • Monitor incoming mailboxes for works orders to be raised and allocated, all communications
  • Provide regular updates to clients on progress of works and escalate jobs that are outside of target
  • Make contact with sites/customers to establish key relationships
  • Capture and record customer requirements in appropriate documentation for internal communication
  • Take appropriate action to avoid a customer complaint
  • Undertake any reasonable request in order to support the needs of the business
  • Manage service delivery & meet contractual KPIs/Targets
  • Deliver excellent customer service
  • To engage with external customer, clients and stakeholders. Internal customers and contractors
  • Daily, weekly, monthly reports
