    Job summary

    You willbe responsible for the general administrative and reception duties within thePractice and work with our established processes, policies and procedures toprovide a comprehensive high-quality service and deal efficiently andcourteously with patient enquiries.

    Yourregular duties in this role will be dealing with telephone, face to face andelectronic enquiries, booking and/or amending patient appointments and homevisits, contacting patients to provide information from the clinical team andassisting patients to access our services and those available in the widercommunity.

    Job responsibilities

    Reception

    Receivingpatients, consulting with members of practice team

    Processingpersonal and telephone requests for appointments, telephone consultations andensuring callers are directed to the appropriate healthcare professional

    Registernew patients, checking all details for accuracy and enter on computerregistration link

    Takingmessages and passing on information

    Initiatingcontact with and responding to requests from patients, other team member andassociated healthcare agencies and providers

    GeneralAdministration

    Processingand distributing paper correspondence received into practice

    Processoutgoing mail taking to post office and logging in post book

    Filingand retrieving paperwork

    Computerdata entry/data allocation and collation; processing and recording informationin accordance with practice procedures

    Providingclerical assistance to practice staff as required, including word/dataprocessing, filing, photocopying, and scanning

    Keepingthe reception area, notice boards, leaflet etc. tidy and presentable

    Coversickness/annual leave and work reasonable overtime when required.

    Performany other relevant and reasonable duties that may be requested by the PracticeManager, reception manager or partners.

    Undertakestatutory and mandatory training as required.

    Toprovide an efficient word processing service for GPs and health professionalsas required. This includes the typing of letters, patient referrals, etc. in anaccurate and quality manner.

    To makeappointments, bookings and admissions as required.

    Toestablish and maintain filing and administrative systems so that written orcomputer information is easily accessible and secure.

    Filepatient records and correspondence in patient medical records.

    Toreceive incoming and initiate outgoing telephone calls in order to facilitatetimely and appropriate communications with others, taking messages and dealingwith appropriate queries.

    Toassist with the gathering of information re QOF, Audits, Enhanced service datawhen required.

    Toprovide cover for members of the team during periods of sickness and annualleave.

    Carryout administrative tasks relating to patient records, including filing,document management and ensuring patients can access reports, prescriptions andthat they are easily accessible.

    Scanning Duties

    Scanpatient-related documents onto their medical record using read codes as agreedby the clinical team

    Add anyadditional information about the source of the document

    Forwardthe document to the doctor or nurse who initiated the referral or who is mostappropriate to receive the information

    Ensureincoming letters are scanned onto the patient record within a 48/72-hourtimescale

    Scanall internal paper documents on to the relevant patients record and then storethe documents in line with surgery procedures.

    Appointment SystemManagement

    Book/edit/cancelappointments and recalls ensuring sufficient information is recorded toretrieve medical record.

    Monitoreffectiveness of the system and report any problems or variations required.

    Dealwith home visit requests, carefully noting all details

    Medical RecordsManagement

    Retrieveand refile records as required, ensuring that strict alphabetical order isadhered to.

    Ensurecorrespondence, reports, results, etc., are filed in correct record.

    Ensurerecords are kept neat and tidy and in good repair with all necessaryinformation recorded correctly on the outer cover.

    Processingrepeat prescriptions in accordance with practice guidelines

    Handingcompleted repeat prescriptions to patient and checking names and address.

    Consultation Room Preparations

    Clearingand re-stocking of consulting rooms as required

    Consultingrooms prepared in readiness for each consulting session.

    Roomsare checked at the end of each consulting session and left tidy and secure.

    Person Specification

    Qualifications

    Essential

  • GCSE English & Maths 9 - 3
  • NVQ level 2 or equivalent Business/admin or customer service experience
  • Desirable

  • NVQ Level 3 Business/admin
  • Experienced GP Receptionist
  • Experience

    Essential

  • Experience of care/admin/reception or a desire to learn and gain qualification
  • Desirable

  • Able to use EMIS clinical computing system, however full training is available
