What You Need to KnowThe purpose of this role is to act as liaison between colleagues and customers to ensure accurate communication and successful conclusions to all jobs. Ensuring accurate and timely administration of all department systems and that all work is carried out in accordance with company procedures for quality, health and safety is critical. To provide assistance with administrative support to the Testing and Calibration Services department.


What We Are Looking For

Some of the Key Responsibilities:

  • Reception Duties:
  • Answer all incoming telephone calls and pass promptly to relevant member of staff with accurate details
  • Where appropriate take accurate messages and forward in a timely manner
  • Administration:
  • Assist with the administrative function for the business unit including but not limited to:
  • Data input into Microsoft Dynamics AX
  • Obtaining quotes from suppliers.
  • Raising purchase requisitions/Purchase orders, expediting orders, and raising related quality documentation where necessary
  • Assist in the administration of invoice processing and month end accounting activities.
  • Prepare, update, and maintain documentation, files and spread sheets as required.
  • Make sure all department filing is stored, archived and up to date in a timely manner.
  • Assist, where appropriate in accounts receivables activities
  • Process various picking lists for all departments.

Working Towards:


  • Enquiries:
  • Ensure all enquiry details are accurately recorded on the system in accordance with operational procedures.
  • Liaise with CSR Team/Service & Rental Manager regarding the scheduling of work.
  • Prepare and send AX quotations for every valid enquiry received.
  • Rental Equipment Maintenance:
  • Review inspection reports forwarded form the workshop team to identify parts required for maintaining the rental fleet
  • Regular monitoring of WIP Excel Register, ensuring all parts ordered are expedited and computer system updated accordingly
  • Liaise with workshop team lead for the scheduling of maintenance
  • Service Work:
  • Maintaining Electronic database for Company Certification Records.
  • Expediting orders, inclusive of Customs documentation if applicable.

Skills & Experience
Essential

  • Minimum 5 National 5s (or equivalent) including English and Maths
  • Accuracy and attention to detail
  • Computer literate
  • Flexible approach to workload
  • Problem Solving skills
Preferred

  • Previous office experience
