This Role


To provide a high standard of both secretarial and administrative support to the Supply Chain Director and the full Supply Chain team.

This requires an in-depth understanding of the work of the department, liaising both with other departments and a range of external bodies.

Your Unique Contribution


Key Responsibilities Include:

  • Be proactive in dealing with the workload and diary of Supply Chain Director to ensure the smooth running of the business, preempting decisions and taking appropriate action where possible
  • To provide a central point of contact for other departments to deal with general queries
  • Ensure all external communications are presented in a professional manner e.g. Customer Service Bulletins to markets, Supplier Bulletins
  • To assist in further development of department standards and procedures e.g. ISO, Health & Safety
  • To manage diaries and to use initiative in making arrangements, anticipating requirements for meetings, travel and accommodation and processing of travel expenses for Supply Chain Director and direct reports
  • General support to the department e.g., travel arrangements, meeting scheduling
  • To assist in the preparation of highlevel presentations, collating inputs from different sources if necessary
  • Responsible of the collation and issuing of daily control reports for the CS team
  • Management of all PO's in relation to all nonstock PO's across the full supply chain team
  • Support Customer Service team in relation to market export documentation
  • Management of all document archiving for the department ensuring that the log is kept up to date
  • Coordination of Supply Chain Q-Pulse documents ensuring everything is up to date and escalated to relevant manager if required
  • Provide support to the wider team when required in relation to filing and archiving
  • General support of the wider Supply Chain team as and when required

  • Excellent organisational skills and the ability to plan workload
  • Works well within a team and under pressure of deadlines
  • PC literate and able to use business systems effectively
  • Ability to use initiative and work with minimum supervision
