Main job purpose:


To be the first point of contact for the Conveyancing team, providing electronic quotes, answering questions and providing information for the client.

By providing exceptional customer service, you will convert these enquiries into new instructions.

You will then open new files on the case management system and liaise with clients in respect of the onboarding process.


Duties and responsibilities

  • Produce conveyancing quotes for potential clients ensuring the correct Fee Scale is used for the type of work that is required.
  • Produce and forward quotes to potential clients within the same working day.
  • Accurately maintain the quoting database using the current software provider Hoowla.
  • Update the new business spreadsheets daily and accurately maintain them.
  • Conduct follow ups on the quotes provided and record client feedback.
  • Open new files on the case management system and manage new instructions including sending the instruction documentation to new clients and assisting with questions and enquiries regarding the documentation.
  • Allocating work to fee earners and informing the fee earners when a new instruction has been allocated to them.
  • Populate the matter details on the case management system paying close attention to detail.
  • Assist with carrying out ID checks and processing client instruction documentation when required and directed by the Head of the Conveyancing Department.
  • To carry out regular mystery shop exercises.
  • To undertake any other duties and responsibilities that may be required by the Head of the Conveyancing Department.
  • Explaining our requirements regarding Identification and Source of funds to potential clients to maintain a consistent approach.
  • Carry out conflict checking on the case management system both when providing a quote and when accepting a new instruction.
  • Maintaining a consistent conversion rate.
  • Produce performance figures on a regular basis for review to the Head of the Conveyancing Department.
  • Engage with online enquiries and quotation requests, liaising with the Marketing Manager as required.
  • To provide end of case support where required i.e. post completion
  • To undertake any specific training when required to do so and take responsibility for your own selfdevelopment.
  • To ensure the confidentiality of all practice and client documentation and information.
  • To promote the practice when and where possible.
  • To maintain professional standards at all times.

Pay:
£20,000.00-£23,000.00 per year
