Role Purpose
The Executive Assistant provides organisational support to the Managing Director and high-quality administration for the business. The role takes responsibility and ownership of office organisation, project management, deadline compliance and important documents and files.
The Executive Assistant also acts as the face of Hillbrush in many different situations and events and the role holder is expected to be a strong and professional Brand Ambassador at all times.
Duties and Responsibilities
Managing Directors Office
- Attend and organise internal and external events and meetings as required by the Managing Director, in a professional manner
- Updating internal systems and social media presence and responses
- Production and copyediting of both internal and external communications on behalf of the Managing Director
- Maintaining database of Managing Director contacts, updating and proactively passing on leads to the Sales Team
- Planning travel & itineraries
- Event investigation and coordination (liaise with Marketing team)
- Provide a link between the Managing Director and the Management Team supporting with communications required
Project Management
- Project management of key strategic executive projects
- Coordinate and support on key interdepartmental projects in line with the Company's objectives
- Coordinate project meetings, taking minutes (decisions/actions) and proactively following up action points required
- Prepare, create and deliver presentations where required
Office Management and Administration
- Organise meetings, arrange appointments and oversee customer and supplier visits to site to ensure a superior experience for all visitors
- Oversee the organisation of all functions held at Hillbrush, including staff events and external meeting bookings
- Maintain records, prepare reports, create presentations and compose relevant correspondence in a professional manner in line with company policy
- Support with the organisation of the Company's presence at global trade shows, including making reservations, updating online profiles, producing product inventory lists and supporting PR activity
- Be a positive champion of integral systems used across the business, including Hubspot, Teams, SharePoint and Winman
- Liaise effectively with all colleagues, suppliers and clients.
- Acts as emergency cover for Visit Hillbrush, helping clear tables as and when demand exceeds existing staff capacity in order to maintain helpful and friendly customer service to VH clientele.

- Excellent IT skills (Microsoft 365 apps) and social media savvy (E)

- Ability to handle confidential information with discretion, diplomacy and professionalism (E)
- Experience with managing or coordinating projects (E)
- Energy, enthusiasm and a can do attitude (E)
- 2 Years Minimum EA Experience (E)
- Good judgement with the capability to anticipate needs and respond accordingly (D)
Salary:
From £30,000.00 per year
