£ 41, 000-£43,000


RESPONSIBLE FOR:
Accounts Payable Officer


OVERALL PURPOSE OF POST:
To produce accurate and timely financial reports and maintain the Association's accounting records


KEY TASKS
1 Finance

1.1 To supervise invoice payments at agreed regular intervals in line with financial procedures, ensuring invoices are paid within terms and any available discounts claimed
1.2 To ensure the maintenance of the purchase ledger and regular supplier reconciliations

1.3 To input cash book transactions, journals and other records as required onto the system

1.4 To maintain and supervise the accuracy and completeness of the Association's nominal ledgers

1.5 Manage the monthly reconciliations of the control accounts and company balances.

1.6 To assist the Finance Director in ensuring that all the required records are accurate and kept up to date

1.7 To prepare and present the monthly management accounts information required for both internal and external purposes
1.8 Prepare the necessary files, reconciliations and other required documentation for the year end audit and liaise with the External Auditors as required

1.9 Maintain and develop the financial systems. Ensure users are trained

1.10 To carry out visits to the schemes to promote financial management

1.11 To produce any other financial reports as required

1.12 To act as emergency support for the Head of Human Resources and Central Services for processing the payroll

2 Staff Management and Supervision

2.1 To recruit, manage and lead staff ensuring that they are trained on their duties and appraised of their performance

2.2 To facilitate effective teamwork and good channels of communication

2.3 To hold regular One to One meetings, carry out performance appraisals and identify training and development needs for staff

2.4 Manage a team that strive to provide an excellent service to both internal and external stakeholders, ensuring that clear objectives are discussed and agreed

2.5 To ensure the staff for whom you are responsible are familiar with all relevant policies and procedures and that they are implemented at all times

2.6 To maintain appropriate staff records and other personnel information and to deal with any disciplinary or grievance matters in accordance with Sapphire's policies

2.7 To ensure appropriate staff cover at all times

3 Other Duties

3.1 Any other as assigned by the Finance Director

3.2 To keep accurate records including statistical information where appropriate.

3.3 To provide written reports as requested.

3.4 To work within and promote all of Sapphire's policies and procedures, and to promote Sapphire's values and culture

3.5 To work at other locations as and when required.

3.6 To attend supervision, training and meetings as and when required.

3.7 To assist with any aspects of the work of the Finance Team required

4 Financial Responsibilities


4.1 To be aware of and adhere to all relevant financial procedures and regulations of the organisation and to report any discrepancies either on the part of the post holder or others to your manager immediately.
