_This new organisation brings together the free services delivered by the Money Advice Service, The Pensions Advisory Service and Pension Wise.? We are an Arms-Length organisation, sponsored by the Department for Work and Pensions, with a joint commitmentto ensuring that people have access and guidance to the information they need to make effective financial decisions over their lifetime.

The organisation will also engage with HM Treasury, which is responsible for policy on financial capability and debt advice.?Working hand-in-hand with stakeholders throughout the UK, the Money and Pensions Service will ensure that money and pensions guidance is available to those that need it, adapting to people's changing needs throughout their lives.


The role

As part of the Places for Growth (PfG) Programme the Money and Pensions Service (MaPS) is relocating its head office to Bedford Borough Hall from London in January 2024.

To start to transition and embed the organisation in its new home, MaPS will be openingand operating a temporary office space in Borough Hall, Bedford from April 2023 (after fitting out the new premises in March 2023)

The post holder will provide Office Management, Visitor Engagement and Facilities support to the temporary office space in Borough Hall and play a pivotal coordination role in the fit out of MaPS permanent office space in Borough Hall.

This role is critical to the success of MaPS relocation to Bedford by helping to build and embed a new office culture in line with MaPS' values; Caring, Connecting and Transforming.

The role requires working at Bedford Borough Hall 5 days a week to help support the running of the day-to-day office

Key accountabilities

Visitor and Staff Engagement:


  • Being a positive, proactive and welcoming face of MaPS for all visitors to the office.
  • Greeting all colleagues, helping to familiarise them with the new office space.
  • Ensuring the office space is accessible to all colleagues and visitors
  • Acting as the first point of contact for any workspace problems visitors and colleagues may have.
  • Inducting visitors on key Health and Safety (H&S) information

Office Management:


  • Providing support to key MaPS governance meetings by setting up IT in meetings rooms, providing refreshments and sourcing catering for lunches when required and cleaning up after meetings.

Skills & experience:

-
Office Management (Cont.)Booking ad-hoc meeting rooms for Non-Executive Directors and senior leaders as required, provide printing services if requested.

  • Ensuring there are effective meeting room facilities services including but not limited to room booking allocation, ensuring IT and AV equipment fully functional, temperature control, and room layouts and ensure meeting rooms are adequately stocked charts, paper, markers.
  • Stock control and storage and managing relevant expenditure budgets.
  • Managing and overseeing the process of people, goods and mail entering and exiting the office to comply with MaPS' policy, and in particular security arrangements.
  • Working with H&S and FM teams (within MaPS and the Landlord) to ensure compliance with H&S policy and procedures and undertaking any H&S related activity as directed.

Office Management (Cont.):


  • Act as the lead Fire Marshal, recruit and train other colleagues to be supporting fire marshals and coordinating fire evacuations and drills.
  • Act as the lead First Aider for the temporary office space.
  • Provide adhoc support to IT to resolve any IT problems colleagues/visitors may have.
  • Coordinate dispatch of any post.

Facilities Coordination and Support:


  • Provide on the ground support for the fitout of the temporary and main office spaces at Borough Hall, working with MaPS Estates team to facilitate and coordinate onsite contractors.
  • Inducting contractors into Safe Systems of Work / Risk & Method Statements and ensuring they comply with H&S and other legislative matters.
