Our clients are seeking a motivated self-starter for a Part time project administrator position to work Monday-WednesdayYou will be responsible, among other things, for various administrative duties surrounding a project.
These duties may include documentation, meeting management, note taking, handling the project tenders and procurement, and chasing contractors, consultants,and local authorities to help the project stay on track.
You'll need exceptional organisational and time-management skills to be efficient in sorting through and completing tasks, managing paperwork, and offload work from the management team.
You will be responsible for typing up documents, completing forms, and filing, sharing, and updating documents, where attention to detail will be key.
In addition to putting meetings on the calendar, you may be asked to take notes, and after each meeting, send out meeting notes and action items, ensuring everyone on the team is up to speed.
As project administrator, you'll be the MD and Property Management team's right hand, dealing with a range of tasks.
Your goal is to help the project progress, and you'll gain valuable project and property development experience that can grow your career.
The role will suit someone who enjoys working in property development and who relishes being fully involved in all aspects of administration and project work.
This is a full-time position Monday to Friday with a half-hour lunch break. You will be based at Weston-super-Mare.
20 days holiday entitlement (plus 8 bank holiday days in addition).
Starting salary £24,500+ (DOE).
Duties will include but are not limited to:
- Working closely with the Managing Director and Property Team to provide administrative support as instructed.
- Help to set up project meetings and coordination of meeting arrangements for the Managing Director and Property Team.
- Schedule meeting appointments and set up project meetings.
- Handle the minutetaking at meetings.
- Occasionally organize venues and assist with planning and running events.
- Keep the project important deadlines calendar up to date.
- Track and help progress projects by chasing contractors/consultants/local authorities for updates as instructed by the Property Team.
- Staying in touch with contractors to ensure project snagging work is completed.
- Assist with obtaining signoff from local authorities for adoption of new roads (Section 38) and new sewer connections and pumping stations (Section 104) etc.
- Liaise with utility companies for new connections for new build properties.
- Answer phones as first point of contact for the company, as well as making phone calls for the Managing Director and Property Team.
- Liaise with the IT support company to resolve any IT issues for the Property Team.
- Collect, open and distribute post.
- Keep office tidy and stocked with stationary, print materials and biscuits
- Fill out and keep track of purchase orders for project expenditure, as instructed by the Property Team.
- General filing and improving the current filing system.
- Procuring supplies, including ordering stationary, and seek competitively priced suppliers.
- Keep a log of servicing company vehicles and make sure maintenance records are up to date
