An exciting opportunity has arisen to join a music focused post-16 Specialist Provider, supporting vulnerable and disadvantaged year olds across our three bases in Swanley, Canterbury and Brighton.

Duties and Responsibilities

  • Select the recruitment panel for all interviews, personally shortlisting and sitting on the recruitment panel when needed.
  • Support the Operations Manager with the maintenance of the Single Central Record, ensuring that it is accurate and in line with requirements.
  • Operating the welcome desk and ensuring the space is safe, tidy and equipped as appropriate.
  • Providing a welcoming environment for all students, staff and visitors coming into the base.
  • Creating a welcoming ambience with music and maintaining a tidy reception area.
  • Ensuring guests have read and understood safeguarding and health and safety information, signed in/out, and received visitor passes.
  • Retrieve visitor passes when guests leave.
  • Maintaining stock levels in the kitchens, common areas, cleaning cupboard, and any other relevant areas.
  • Answering phone calls, actioning and taking messages passing on as appropriate.
  • General support to the admin team, Operations Manager and Base Leaders as needed.
  • Support with administration tasks for upcoming events; including Black Deer and White Hart festival.
  • Complete the ring round of all absent students by 11:00am and document reasons on Arbor in full.
  • Signing out laptops and equipment and ensuring it is all returned in good condition.
  • Maintain equipment registers.
  • Support students during lunch breaks as per the staff rota.
  • Ensure that all eligible students receive money for Free School Meals.
  • Oversee Free School Meals and bursaries spreadsheets and file receipts.
  • Carry out all enrolment procedures.
  • Update, input and create spreadsheets and databases, maintaining the central filing system (Arbor).
  • Working collaboratively within the admin team to oversee staff votes for Star of SupaJam each month and to update the winners boards accordingly.
  • Support with local outreach and outcomes as required including, but not limited to, scheduling tours, conducting tours, promoting SupaJam and assisting the Outreach and Transition team.
  • Support the Operations Manager with updating the Safer Recruitment and Bursaries policies.
  • Create the staff newsletter every long term and distribute it to staff.
  • To support the administration of SupaPounds.
  • Undertake regular and mandatory training.
  • Attend CPD days.
  • Take responsibility for personal development and personal objective setting.
  • Manage low level safeguarding incidents as outlined in the safeguarding policy and workflow.
  • Escalate medium and high level safeguarding concerns.
  • Record low, medium or high level safeguarding concerns on CPOMS, detailing the incident and demonstrating the identification and management of risk.
  • Attend all safeguarding training when required so you are always on top of the latest advice and procedures
  • Make referrals to external agencies such as PREVENT, social services, mental health support providers and other support services.
