Line Manager FM / Account Manager

Overall Purpose The role of the Workplace Host merges Reception, Concierge and Facilities responsibilities into one role.

The main goal is to provide Hiscox customers with a seamless experience within the building from start to finish.


The high expectations of a Work Place Host are standardised across all sites of the company in UK and to ensure each visitor, contractor and occupiers follow the same journey.


The Facilities Assistant is an important and integral role in supporting the Facilities Management team in the smooth delivery of the building's services.


Whether you are supporting the building with its reactive / proactive requirements or warmly greeting staff and visitors including carrying out the perfect handover to their host, you will be doing so with passion, enthusiasm, and care.

Main Duties & Responsibilities

1.0 Establish good working relationships with staff in order to be recognised as the natural go to person and a trusted partner

1.1 Be focused and motivated to make the Hiscox experience positive and memorable.

1.2 Provide one-to-one support to the FM

1.4 Effectively communicate with all colleagues to ensure the smooth running of the building


1.5 Communicate effectively with all customers, as well as peers and the FM team displaying accuracy and attention to detail both in verbal and written communication.


1.6 Providing a professional service by ensuring the site facilities are in excellent working order by logging and reporting any issues to the M & E provider in a timely and efficient manner.

You will then be expected to monitor the progress of the issue and follow until completion.


1.7 Carrying out scheduled daily walks of the office floors, ensuring cleaning / maintenance standards are maintained while proactively spotting potential user issues / H&S issues and coordinating their resolution appropriately.

1.8 Managing and allocating private lockers change to Manage all aspects of the Condeco system

1.9 Stationary ordering

2.0 Booking couriers on the request and maintain the courier spreadsheet with up to date information

2.1 Ensure first aid and fire marshal posters are updated regularly

2.2 Prepare calendar for the next day with the meeting room request

2.3 Minute taking during weekly meetings

2.4 Maintain a strong awareness of business activity and communicate all updates with your team members as required.

2.5 Take personal responsibility to resolve any issues or complaints as far as possible. Ensure all issues, even if successfully resolved by you are communicated to the Facilities Manager for awareness

2.6 Manage equipment inventory and keep up to date

2.7 Support the training of any new team members, ensuring that all SOPs are followed

2.8 To carry out any reasonable task requested by the FM or Account Manager.

2.9 Contact the Account Manager to report late or sick within the set time scales

3.0 Maintain confidentiality at all times. Keep all information and materials relating to the business strictly confidential at all time.


3.1 Adhere to Perception/ Mitie policies and procedures, ensuring all activities are carried out in accordance with statutory requirements and corporate policies, including, but not limited to Health & Safety, Quality Assurance and Employment Legislation.

3.2 Ensure any issues or concerns are reported to the Facilities Manager or Account Manager


3.3 To liaise and communicate with Facilities Team and other service departments in a clear and timely manner to ensure service delivery and teamwork.

3.4 To report any maintenance issues in the building to the M & E provider.

3.6 Respond to emergencies within the building by acting as Fire Marshal, First Aider. Liaising with the Facilities Manager and Building management when required.


3.7 Support with the setup of meeting rooms, courier booking, as well as other tasks associated with back of house duties.

3.8 Support with CCTV operation, access card printing, access reports and other related administration associated with Security.

3.9 Be prepared to cover other areas within Property Services as required.

£34,688.47-£35,370.00 per year
