Clinic Coordinator

MediServices Healthcare - Redditch B98

Monday - Friday 9am-5pm (optional 8am-4pm shift on a rota once trained)

Salary Range £24,000 starting

(Telephone On-call responsibilities - weekends on a rota - paid as extra)

Role and Responsibilities


To provide administrative support through the booking of clinics and investigatory procedures, to support NHS trusts to relieve waiting list pressures and enable departments to run at maximum efficiency.

The focus will be on delivering customer service excellence, relationship building and putting patients first.


Main Duties and Responsibilities

  • Liaise with hospitals, patients, clinicians, sonographers and healthcare staff to book clinics and investigatory procedures.
  • Maintain internal databases, for example, SharePoint, Clinic Office, Outlook and Excel.
  • Maintain organisational systems and processes to ensure efficient control and storage of all information and records.
  • Undertake a range of recordkeeping and monitoring tasks, complying with GDPR, patient confidentiality and organisational requirements.
  • Accurate and timely issuing of all appointment letters and reminders.
  • Book Health Care Assistants where required.
  • Conduct patient satisfaction surveys.
  • Monitoring consumable levels.
  • Comply with organisational policies and procedures at all times.
  • Supporting with the onboarding of new team members and apprentices.
  • Undertake clinic visits and HCA responsibilities where required.
  • Identify when patients might breach and alert Senior Clinic Coordinator / Service Manager.
  • To undertake any other reasonable duties in line with the general responsibility of the post, including:
  • Providing administrative support to the management team.
  • Undertake appropriate training and development activities to meet the requirements of the post.

Person Specification

Qualifications and Experience

  • GCSE (Grade C or above) in English and Maths, or equivalent. Essential
  • Relevant experience within a busy clinic coordination or administrative role. Essential
  • Car owner/driver and willing to use own transport for business purposes for occasional travel to clinics or hospitals. Essential
  • Experience of working in a medical or healthcare environment. Desirable
  • Experience of clinic coordination. Desirable

  • Ability to work under pressure and remain focused on key tasks. Essential
  • Excellent communication skills and interpersonal skills in some cases where there are barriers to communication or understanding. Essential
