Job Summary
To provide an effective day-to-day clerical support to facilitate the smooth running of the Endoscopy admissions services on a day-to-day basis under the direction and supervision of senior colleagues


This job role covers:

data entry to facilitate patientprocedure and outpatient appointment booking, the movement of case-notes around the trust and reception duties.


Duties

  • Primary role to provide a reception service for patients attending appointments and procedures within endoscopy.
  • Answer the telephone in a timely and courteous manner, ensuring appointments made efficiently whilst dealing with the public in a professional and sensitive manner.
  • Demonstrate professional and helpful sensibilities when interacting with other staff members, especially the clinical teams and secretaries.
  • Make all referral appointments in accordance with the templates and in line with Trust and JAG dictated RTT, diagnostic and planned surveillance waiting times. To negotiate with patients to book a suitable appointment, dealing sympathetically in sometimesdifficult situations whilst adhering to booking processes.
  • Ensure each patient is loaded onto the correct waitlist with the appropriate procedure code onto the PAS system in line with the Trusts policies and guidelines.
  • Ensure patients are booked to correct theatre lists by discerning the requirements from booking forms; ensuring Trust and JAG waiting times are adhered to.
  • To ensure up to date clinic lists complete with current patient details and all relevant paperwork for the appointment is available on the day
  • Ensure the patients mutually agree the date and time of their appointment within the set timeframe, ensuring no one breaches.
  • Direct patient contact on Endoscopy reception; mindful of patient's concerns or worries at attending for an endoscopy procedure.
  • Deal with enquires and issues escalated to them in an efficient, polite and courteous manner, providing a caring compassionate, helpful and understanding service to patients, staff and the general public
  • Handle difficult situations in a calm and professional manner; escalating to line management as appropriate.
