Description

This role will be responsible for general project administration for the Vacuum Systems Projects / Engineering Team; including but not limited to project set up, compiling documentation, maintaining document records, and supporting with the successful delivery of projects.


Main Tasks - will include, but not limited to:

  • Administering Systems project orders on ERP system, including creating sales orders, production orders, creating item codes, dispatching orders, invoicing, and closing orders.
  • Setting up new projects on network drives and project tracking board(s).
  • Administering project gateway reviews and support with project progress tracking.
  • Collating Systems team Key Performance Indicators (KPI) data and support the Systems Management Team with department reports.
  • Document transmittals to customers and reporting on document status (e.g., approved/pending approval).
  • Support with the tracking and resolution of any project nonconformances, for example overspends against budget, overconsumption of project hours, schedule delays.
  • Updating project schedules
  • Support engineers in creating documents for documentation manuals.
  • Support Design Engineers to extract information from drawings and create parts lists (Bills of Materials, BoM).
  • Support with the maintenance of the engineering standards database.
  • Support with the maintenance of team processes and procedures.
  • Support with project quality assurance tasks, such as taking photos of the system before packing.
  • Support the Systems department with improving and sustaining 5S standards.

Job Requirements

  • Strong Microsoft Office skills (such as bookmarking in MS Word and working with Pivot tables in MS Excel).
