Provide PA and administrative support to the Head of HMI, including diary management, correspondence, internal communication, travel arrangements, budget management, research and the preparation of presentations.

Provide administrative support across the wider programme team, including answering and redirecting calls within the Institute as required.

Assist the Head of HMI and the wider programme team to deliver a programme of exhibitions and displays, including liaison with artists, collections and their representatives, museums, galleries and other partners.

Organise exhibition openings, arrange exhibition photography and arrange travel, accommodation and hospitality for VIP guests.

Assist with the production of programme interpretation material, including liaison with authors, monitoring deadlines, sourcing images, negotiating fees and obtaining permissions and copyright. Distribution of new essays to subscribers.

Calendar Management: Scheduling meetings, appointments, and events related to cultural initiatives. Coordinating with internal and external stakeholders to ensure availability and alignment.

Communication: Managing emails and correspondence on behalf of the Head. Drafting and editing communication materials such as memos, presentations, and reports.

Event Planning and Coordination: Assisting in the planning and execution of cultural events, exhibitions, and performances. Liaising with vendors, venues, and participants to coordinate logistics.

Research and Analysis: Conducting research on cultural trends, best practices, and relevant industry developments. Analysing data and preparing board reports to support decision-making and strategic planning.

Administrative Support: Organising international travel arrangements, accommodations, and itineraries for the Head of HMI. Managing expenses, budgets, and administrative paperwork.

Relationship Management: Cultivating and maintaining relationships with partners, stakeholders, and cultural organisations. Serving as a point of contact for inquiries and requests related to cultural engagement initiatives.

Project Management: Assisting in the development and implementation of cultural programs, projects, and initiatives. Tracking project timelines, milestones, and deliverables.

Cross-functional Collaboration: Collaborating with other departments and teams to integrate cultural initiatives with broader organisational goals. Providing support for cross-functional projects and initiatives as needed.

Administrative Support: Managing the director's schedule, coordinating appointments, and handling correspondence. Handling administrative tasks such as filing, record-keeping, and expense tracking.

Sales and Marketing Support: Assisting with sales inquiries, client follow-up, and artwork pricing. Develop and implement promotional strategies.

Artwork Documentation and Cataloging: Maintaining accurate records of artwork inventory, including descriptions, provenance, and pricing. Assisting with the cataloging and documentation of artworks for archival purposes.

Special Projects and Initiatives: Supporting the director in the development and implementation of special projects, such as public art installations or artist residencies. Researching potential partnerships, grants, and funding opportunities to support gallery initiatives.

Empathy & Risk, London - Project Manager/Curator

• Draft and review contracts for, briefs and loans agreements to commissioned artists and curators.

Draft funding applications and compile funding reports for key stakeholders.
