    Job overview

    To be responsible for leading the day to day management of the e-Rostering team along with the implementation and maintenance of RLDatix Roster system queries, there is an expectation to deliver and maintain the successful optimisation of Optima aiding the production of effective and efficient rosters, continued roll out of the programme as well as implementation of additional functions available in the future as appropriate.

    Main duties of the job

  • Responsible for managing and overseeing Health Roster, Safe Care, Employee Online/ME, Roster Perform, Insight and other associated systems including any on-going development as required.
  • To manage effective, responsive and customer focused support to users of Health Roster across the trust.
  • Responsible for managing, producing and analysing complex data sets or information.
  • Responsible for generating accurate e-Rostering workforce information reports linked to the Trusts KPIs
  • To oversee the check and challenge process across the Trust, working closely with Senior Managers and Trust Executives ensuring compliance with the Trust KPIs
  • Provide senior support in respect of the continued deployment of the Optima system across the Trust in accordance with the e-Rostering roll-out
  • Continuously review working processes and data to maximise efficiencies and improve data quality
  • Ensure a healthy, safe and secure working environment, ensuring compliance with legal and regulatory requirements, maintaining accurate documentation and reporting any concerns.
  • Responsible for the day to day management of the e-Rostering systems team including but not limited to prioritisation of workload, management of annual leave, absence management, Personal Development Reviews, supervision, appraisals and training compliance monitoring.
  • Actively participate in the e-Rostering Governance Group, updating on different work streams, presenting findings and outcomes and sharing best practice with the group

    Detailed job description and main responsibilities

  • Attend Trust wide and senior workforce meetings as invited to represent and present updates regarding the RLDatix systems within the Trust as appropriate
  • Chair team meetings ensuring team discussion and input, including: corporate communication cascade, service improvements, new processes, maintenance of current processes.
  • Ensure departmental objectives are clearly communicated and achieved, in line with Divisional and Trust Strategies.
  • Ensuring the completion of relevant audit reports and updating the annual IG toolkit
  • Assist the Trust's external auditors in audit requirements from the Optima system and with the team implement any recommendations arising from the audit.
  • Manage the e-Rostering policy and ensure it is reviewed and amended following Trust procedures.
  • Where required, amend and update other relevant policies in line with employment legislation and best practice guidance
  • Work in partnership with senior management to address areas of potential concern or risk to the Trust in relation to clinical governance or compliance with legislation, codes of practice and standards
  • Develop implementation strategies and project plans to improve best practice within the organisation around roster safety, effectiveness and establishment.

    QUALIFICATIONS KNOWLEDGE/PREVIOUS EXPERIENCE

    Essential criteria

  • Degree level qualification in a related subject or equivalent
  • Experience of working with senior managers and operational staff
  • Experience of planning, organising and scheduling activities of self and team in a pressured working environment with changing priorities
  • Experience of delivering training on electronic rostering systems within a large organisation
  • Desirable criteria

  • Experience of managing a team
  • Experience of conducting roster reviews and/or implementations for complex clinical areas e.g A&E
  • Demonstrable Project management experience
  • SKILLS

  • Effective verbal and written communication skills
  • Able to present complex data to a variety of audiences, including being able to tailor training delivery to suit individual needs
  • Excellent analytical, numerical, reporting and problem solving skills
  • Ability to positively challenge and influence others at all levels across the organisation to change working practices
  • Detailed understanding of the complexities of staffing and rostering within an NHS service
