- Being the initial point of contact and executive support to the London Area Leadership Team, you are required to be fully flexible providing comprehensive administrative support and effective communication to the area's senior leadership team.
A high level of initiative is required to prioritise tasks and information (often sensitive) to keep the leadership team fully informed on key messages and to manage the effectiveness of their time.
The primary responsibilities of the position will be to provide excellent secretarial support including:- managing calendars
- organising and capturing actions in meetings as well as minute taking
- drafting and preparing documents
- sharing information with various teams across our offices area
You will need to be managing & keeping ahead of a dynamic schedules and prioritising & tracking actions and commitments.
Being of a pragmatic nature, prioritising will come naturally to you allowing you the ability to achieve timely outcomes in line with policies and procedures.
You will be interested and motivated to develop your understanding of the Environment Agency and driven to make a differenceResponding to incidents is a central part of what we do.
You will be required to have an incident role and make yourself available to respond to incidents or provide business continuity support during an incident.
This may attract an additional payment and full training and alternative working arrangements will be available to support you with your incident role.
- The team
- You will be part of a friendly approachable team of Business Support staff that help each other in the delivery of work for the Area Management Team, working closely with the Area Manager's Personal Assistant. Therefore, team working and a positive attitude are essential. The position is situated within the London Area Office of the Environment Agency.
- Experience/skills required Experience working as a secretary/business administration or similar role.
- Able to work efficiently and effectively at a fast pace to constantly shifting deadlines and parameters without compromising on quality.
- Effective communication skills. Some experience in taking action points/minutes at senior management meetings.
- Able to pick up new IT systems quickly and be competent in using IT services such as Microsoft office programmes (for example Outlook, Word, Excel etc.)
- The ability to work proactively whilst being primarily unsupervised.
