    Position Description

    The Legal Administrator is responsible for administrative support, contract administration and corporate governance support to further Vantage's strategic opportunities and business objectives. In addition to providing excellent administrative support, the candidate must bring a proactive, business and solution-oriented mindset to all matters, an enterprise lens and a proven ability to work collaboratively across the organization. Ideal candidates for this role will have both international in-house and law firm experience, company secretary skills, a passion for growing a business and experience in continuous improvement and driving enhancements that benefit the Company.

    Duties

    • Maintain all governance documents and legal entity org charts
    • Confirm all agreements are duly executed
    • Track all contracts across the organization and maintain a virtual filing system (including Power of Attorneys and Guarantees)
    • Review and approve legal invoices related to third party providers
    • Track key terms in client contracts (i.e. term dates, termination provisions, MFN, etc.)
    • Assist with scheduling and travel arrangements for senior legal team members
    • Support client contract compliance requirements
    • Support enterprise vendor management program and onboard third party cosec providers
    • Track law firm engagement letters and billing rates
    • Draft simple amendments and resolutions
    • Support with Board maintenance matters, such as but not limited to, coordination and execution of Board meetings, reviewing and executing resolutions, and appointment/removal of directors when necessary
    • Liaise with third party providers on regulatory and legal requirements for cosec matters across EMEA.
    • Help respond to requests for copies of documents and policies
    • Review notices and send them to the appropriate business contact
    • Support with the implementation of contract management system Assist with legal due diligence efforts relating to a variety of group matters
    • Liaise with North America Legal team as needed

    Job Requirements

    • University degree required
    • Preferably 3+ years of relevant administrative legal experience
    • Ideally the candidate will have experience working across multiple jurisdictions (highly desirable)
    • Company secretary qualification is a plus (but not a requirement)
    • Strong written and verbal communication skills
    • Ability to read, analyze and interpret legal and technical documents
    • Excellent organization, time management and problem-solving skills that enable the candidate to juggle multiple responsibilities at once and consistently meet tight deadlines
    • Expertise in working with Word, Excel and PowerPoint
    • Successful candidate must be a team player, able to work collaboratively with a variety of people.
    • This position requires an organised individual with the capacity to handle multiple projects simultaneously, work well under pressure, and to prioritize work effort, all with minimal supervision.
