Shift Pattern: 8-hour shifts. Tuesdays, Wednesdays and Fridays

Equivalent of £28k Pro Rata


Job Purpose:


The purpose of the role is to firstly support the day to day running of the facilities office, dealing with HR related duties, administration tasks and ensuring all legal documents are compliant.

Secondly to support the Company Directors, offering administration support and if needed, completing a diverse range of tasks to aid the company's needs.


Key Duties and Responsibilities:


  • Being a first point of reference for a range of queries/tasks, prioritising this workload and delegating if necessary

HR-related duties:


  • Booking training courses
  • Chasing for missing training agreements and qualification certs
  • Issuing offers and preparing for new starters
  • Processing new starters
  • Processing leavers
  • Posting jobs and handling recruitment before utilising agencies
  • Chasing up DBS Certificates and Right to Work/Visa/|D card information
  • Arrange Probation Review and Disciplinary meetings, and associated paperwork
  • Reporting to our official HR officer at a 3rd party company
  • Manage Government online Apprenticeship Account

Banking admin tasks:


  • Maintain Payroll spreadsheets for clients
  • Checking pay slips

General Admin duties:


  • Ordering stationery and supplies
  • Assisting with HAHP website admin and ordering
  • Organising Away Days and other events, booking train tickets etc
  • Monitoring Info Inboxes
  • Completing Tender and PQQ documents
  • Collating and issuing Actions Points for Internal Board Meetings
  • Arranging and participating in external audits
  • Facilitating internal audits

Person Specification:


  • Previous experience in a similar Admin or HR role within a Facilities company (Essential)
  • IT literate, able to use a diverse range of platforms.
  • Able to prioritise tasks and organise workload (Essential)
  • Able to keep a 'cool head' during busy periods
  • Ability to work as part of a team good communication is key as you will be working alongside another Head of Support Services
  • Attention to detail and strong admin skills.
  • Proactive approach, able to work of own initiative
  • Good level of education.

£28,000.00 per year
