Client Services Coordinator


Accountable to:
Client Services Manager


Hours:
Rotating shift pattern (8am 5pm or 9am 6pm)


Job Purpose:


This role sits within our Front of House team and will be tasked with delivering exceptional client facing services relating to our meeting rooms and internal services to staff members to ensure the office always runs smoothly and efficiently.


Responsibilities:


  • Managing office assistant and providing holiday and sickness cover
  • Responding to all enquiries in a timely, efficient and effective manner.
  • Act as the hub for staff enquiries, requests
  • Dealing with incoming/outgoing post
  • Seek out opportunities to improve ways of working.
  • Meet and greet clients/guests. Provide refreshments on arrival and ensure all needs are met and alert appropriate staff member of their guest arrival.
  • Managing meeting room diaries, ensuring everything runs smoothly throughout the day.
  • Ensuring all meeting rooms, reception area always look presentable.
  • Ordering catering including evening drinks receptions, training sessions, client meetings etc.
  • Liaising and working closely with office assistant and offering support where needed
  • Creating and regularly reviewing Client Services SLAs
  • Completing monthly credit card statement and overseeing/authorising spend
  • Arranging all departments annual and monthly duty cover rotas (Legal, Intel and Partners)
  • Conducting new starter inductions for the department
  • Overseeing reception and ensuring excellent service is provided throughout.
  • Responsible for business card stock for the firm and all other branded stationery
  • Advising Moneypenny (virtual switchboard service) of leavers, new starters, duty person etc)
  • Providing coverage and helping office assistant on busy periods (assisting with liaising with suppliers, setting up meeting rooms, placing stationery/refreshments orders, booking taxis/couriers)
  • Acting as fire warden for the office
  • Assisting Client Services Manager with projects
  • Other ad hoc reception duties

Knowledge and Experience:


  • Reliable and trustworthy with a great work ethic
  • Flexible
  • Previous reception experience is a must.
  • Excellent communication skills
  • Extremely well presented and articulate
  • Attention to detail.
  • Confident using Microsoft Word and Outlook
  • Ability to treat all internal members of staff as clients.
years' experience in a similar role is essential.
