    Events Manager - Fully Remote

    2 days pcm in Central London

    c.£50,000pa

    We are working with a small membership organisation with a global reach We are looking for an Events Manager to project manage a portfolio of events, which includes coordinating the delivery of its two key events in June and November each year. You will play a central role in producing and marketing the events programme that enables and supports this team to achieve its strategic goals, uphold its brand positioning and meet key membership and stakeholder needs.

    These events are a mixture of in-person, online and hybrid, taking place primarily in Europe but also in other regions. The style of the key events is conferences, small exhibitions, informal networking drinks, receptions and gala dinners. Other events in the calendar are a mixture of online hosted and partnered seminars/workshops. In addition, the team participate as exhibitors and/or attendees at several industry events, along with the President and prominent members speaking at industry conferences, all of which require event management input.

    This is a global industry forum with a global membership of 100+ organisations (2,000+ individuals) Members collaborate to deliver advice and tailored solutions on all aspects of the industry.

    About the UK Team

    The UK Project Office provides the administrative support and framework to run this organisation. This includes seven Committees, industry events, business development, technical information, and market intelligence. The team is headed by the Project Director. The Project Manager - Events is the fourth UK based team member.

    Key responsibilities

    · Lead and project manage the two key events. This includes comprehensive planning timelines and workstream execution, managing the tendering processes, venue sourcing and liaison, delivery of logistics, AV production and supplier management; taking into consideration the multiple membership and stakeholder needs.

    · Project manage to develop, plan, and deliver a wide range of other additional events as required.

    · Create and execute event marketing emails (Mailchimp), working in conjunction with the Communication Manager

    · Ensure delivery of sponsor benefits in conjunction with the Stakeholder Relations Manager

    · Create event web pages on the website to include activation of event registration

    · Create an event 'run of show', working closely with the production company to create master PowerPoints

    · Coordinate publication of the branded online platform for the live streaming of the event for the online audience in conjunction with the production company and ensuring high quality recordings are available

    · Lead and project manage the design requirements and marketing collateral for each event, working with the established design suppliers, to include a 'Programme brochure' (ebook), event signage and other event collateral

    · Monitoring supplier invoice amounts ensuring they are as expected and providing these to Finance in a timely manner for processing and payment

    · Support and collaborate with Project Office colleagues with speaker management

    · Speaker travel bookings

    · Manage onsite suppliers (venue, catering, cleaning, production etc.)

    · Create and manage the post event feedback process and analysis

    · Manage registration, acting as first point of contact for delegate queries

    · Management of the 'events' email in-box

    · A proactive approach, reviewing and continuously adapting the systems and processes needed to deliver the events programme, ensuring members and stakeholders' needs are met

    · Negotiate and manage the most efficient, competitively priced and innovative event suppliers and venues in order to produce professional and memorable events

    · Use the internal registration system (where possible) and maintain accurate records of all delegate registration, with continued adherence to GDPR policies

    · Produce accurate event materials in a timely manner and to the best quality possible

    · Act in a polite, diplomatic, and helpful manner at events (in-person & online) at all times

    What experience and qualifications will you need to thrive in this role?

    · Degree educated, or equivalent industry experience

    · Significant end-to-end events management experience

    · Experience of working on multiple events simultaneously

    · Conference, exhibition, and gala dinner management

    · Project management skills and experience

    · People management

    What knowledge will you need to get things done?

    · Microsoft 365 & full Microsoft suite, including MS Teams

    · Mailchimp (or similar mailer software)

    · Canva (or similar)

    · Preparation of event project plans, briefs, timelines

    · Creation of detailed production 'run of show' and master PPT's

    · Zoom meetings and webinars (production)

    · Creation and updating of event web pages

    · Knowledge of event suppliers

    · Asana (or similar project management tool)

    · Live stream experience

    · YouTube (video library uploading & collation)

    · Knowledge of the broadcast and/or technology sector

    · Ability to travel to events abroad as required (currently approximately x8 overseas trips per year, varying in length)

    · Core working hours: 09:00 – 17:30

    · Role is primarily working from home, with in-person Project Office team meetings approximately twice a month in Central London

    · Office equipment provided: laptop, plus other items required – to be discussed.

    · Probation period: 6 months

    · Candidate would ideally be able to start as soon as possible, to work on delivery of a June event.
