Despatch Administration Assistant

Wrexham
Following an internal promotion we are recruiting for a Despatch Adminstration Assistant.

The role will be based on our Wrexham site and is a permanent position working a standard 37.5 hour week in normal business hours.


Our Wrexham site is involved in R&D and Manufacturing of various products and our products are sold and distributed globally.

The Depatch Administration Assistant will ensure that all paperwork, is in place for the distribution through ports and airports and knowledge of Customs requirements into the EU and other parts of Europe, Asia, Africa and America, is part of the role.


Ours is a heavily regulated industry and the nature of our products requires real thoroughness in the approach to the work.


Main Responsibilities

  • To ensure all UK and Export orders are prepared efficiently and accurately.
  • Preparing documentation and labels to facilitate the accurate despatch of products, ensuring all information is accurate.
  • Arranging and booking relevant transportation including flight bookings for domestic and export commercial shipments.
  • Liaising with other Ipsen sites for order processing and distribution requirements for incoming and outgoing shipments.
  • Packing of finished product, clinical trials and sample shipments, using a range of standard and insulated packaging components, adhering to the relevant regulations.
  • Arranging miscellaneous and sample shipments with applicable couriers, adhering to customer requirements and Dangerous Goods requirements where appropriate.
  • Daily checking and replenishment of all packing materials using ERP system to record stock movements.
  • Use of Material handling equipment to store and retrieve items in the Despatch area and load and unload product and components.
  • Perform serialization/aggregation tasks as required for applicable shipments.
  • Perform daily/weekly stock counts, stock reconciliation and assisting in yearend stock counts.
  • Completion of all relevant paperwork related to specified duties.
  • Handling of Customer returns and Product recalls.

Job Expectations - Good Manufacturing Practice (GMP) / Environment, Health & Safety (EHS) / Quality Requirements**- To perform assigned tasks whilst always adhering to current GMP requirements

  • Report any compliance concerns to your linemanager or Quality Assurance Compliance
  • To always work in a safe manner and raise any Health and Safety concerns to your linemanager or the EHS team to improve environmental and health and safety
  • To play an operational and integral part in site processes; Unplanned Events and other investigations (OOS/Complaints), Corrective/Preventative Actions (CAPA), Change Control, and Internal Auditing, as required
  • Ensure all training is kept up to date and documented by adhering to training plan requirements
  • Do not perform any tasks you are not trained to complete
  • You must highlight with your line manager any difficulties or misunderstanding or deficiencies in any SOP's or work plans that may give rise to a workplace risk
  • You must ensure that all hazards, incidents and accidents are reported
